Receptionist

Receptionist provides assistance and administrative support for all areas of the agency.
Responsibilities include but are not limited to:
- Greets walk-in clients and company personnel, directing them to the appropriate department or employee.
- Answers phone and receives faxes
- Responsible for copying functions and communicating copier maintenance requests.
- Point person for other office equipment issues/needs.
- Assist departments with administrative projects including sending out renewal questionnaires, update agency management system and other projects as may be necessary
- Purchases and inventories agency supplies.
- Maintains and refills postage machine.
- Monitors expenses for telephone and postage so that any cost savings can be recognized and implemented.
- Updates agency Distribution List/Constant Contact
- Pick-up/sort and distribute mail to all departments
- Provide assistance as needed/requested for clerical tasks, such as setting up permanent files, etc.
- Assists with the administrative tasks included with onboarding new employees
- Performs other functions as assigned by management.
- Maintains/organizes common areas within the office
KNOWLEDGE, SKILLS AND ABILITIES
Must be highly organized, with demonstrated ability to efficiently function in a fast paced environment; possess skills for effective verbal and written communication. Should be familiar with business operations at the corporate level and should have a good understanding of the agency system. Must be highly knowledgeable about the mechanics and applications of Microsoft Office Suite. Must be able to adapt to regularly changing priorities.
