Position Description

The Customer Service Specialist performs duties under the direct supervision of the Guest Services Manager and the Adult Activities Manager. General responsibilities include, but are not limited to providing customer service to patrons, either through phone or face to face communications and assisting the Facility Manager and Recreation Supervisors. This is an at-will position.

Essential Responsibilities

  • Greets all patrons, members, and participants in a professional and courteous manner as they enter the Facility.
  • Opens and closes front desk utilizing established procedures.
  • Completes cash journal and drawer balance at the end of each shift.
  • Answers questions via in person, on the telephone, or email or directs the guest to the appropriate person for the question to be answered.
  • Performs front desk procedures which include but not limited to processing and inputting data for the following:
    • Program registrations
    • Memberships, pool passes, punch passes, activity payments
    • Facility and pool reservations
    • Performs daily operations of the Adult Activities Center
  • Provides patrons with facility, program, registration, and membership information, forms, and tours.
  • Completes office tasks to include but not limited to filing, organizing, proofreading, photocopying, and other miscellaneous small projects.
Supervisory Responsibilities - This position has no direct supervisory responsibilities, may instruct others for task management.

Communication & Customer Service
  • Develops and maintains a positive and effective working relationship with coworkers to promote and maintain high morale and enthusiasm.
  • Provides excellent customer service to both internal and external customers.
  • Communicates matters of importance in a timely manner.
  • Makes recommendations to management for improvements and efficiencies.
  • Represents the Dundee Township Park District in a professional manner.
Safety & Risk Management
  • Maintains a working knowledge of all general agency and department-specific safety rules.
  • Uses material handling equipment or staff assistance when lifting and/or moving objects 25 pounds or heavier.
  • Reports any work-related injuries to the supervisor promptly.
  • Attends required safety programs and in-service education meetings.
  • Corrects unsafe conditions, if possible, alerts co-workers to potentially unsafe conditions and/or reports them to the supervisor.
  • Instructs co-workers, when necessary, on safety procedures or precautions.
Qualifications
  • Education: High school diploma or equivalent.
  • Experience: Minimum one (1) year experience in a customer service related field.
  • Certifications / Memberships: First Aid and CPR; food handling certification
  • Licenses: Valid Driver's license for van driving
  • Knowledge and skills with computers and software (Outlook, Word, and Excel).
  • Knowledge of office procedures, and previous cash handling experience preferred.
  • Ability to learn additional software and systems required for business transactions.
  • Ability to problem-solve with the capacity to act rationally and calmly stressful situations and/or emergencies with the public of all ages and staff.
  • Reading, writing, speaking, and understanding the English language.
  • Fluent in Spanish.
  • Ability to work a varied schedule including some nights and weekends as required.
  • Ability to execute the essential functions of the position with or without reasonable accommodation.
Knowledge, Skills & Abilities
  • Computer aptitude required.
  • Knowledge and skills in technology, or the ability to learn.
  • Ability to learn additional software and systems required for business transactions.
  • Reading, writing, speaking and understanding English language.
  • Possess good problem solving skills and has capacity to act rationally and calmly in high stress and/or emergencies.
  • Ability to work a varied schedule including some nights and weekends as required.
  • Ability to pay meticulous attention to detail.
  • Ability to execute the essential functions of the position with or without reasonable accommodation.
  • Ability to adapt to changing needs and conditions of position.
  • Ability to work under minimal supervision
Hours Standards

This is a part-time, year round, nonexempt position
  • Work hours are Tuesday and Thursday evenings from 3:45 PM to 8:15 PM, and every Friday from 8:45 AM to 5:15 PM and every other Saturday from 8:45 AM to 12:15 PM.
  • Weekend and holiday hours may be required as well as extended hours as needed.
  • Schedule may vary as needed between facilities.
