The Senior Accountant is a key member of the HMA finance team with a focus on ensuring the accuracy and integrity of financial data. This role is responsible for various accounting functions, including but not limited to, account reconciliations, journal entry preparation, management of accounts receivable and payable, year-end audit, tax form 990, maintaining documentation of processes, and participation in special projects as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

ACCOUNTING AND FINANCIAL REPORTING (45%):
  • Support the month-end close process ensuring entries are recorded correctly and timely.
  • Review the monthly statement of activities and provide written variance explanations.
  • Reconcile assigned balance sheet accounts monthly and resolve discrepancies promptly.
  • Prepare correcting/reconciling journal entries as needed.
  • Reconcile/Audit Accounting Petty Cash monthly.
  • Participate in the fiscal year-end audit preparation.
  • Update attendance and admissions report in cooperation with the Manager of Guest Services.
  • Update Enhancement Fund Acquisition file on or before May 31 annually.
  • Maintain records of international travel for Schedule F of the Form 990 which requires information on activities conducted in regions outside of the United States.
  • Function as subject matter expert on HMA preparation of 1099-MISC and 100-NEC
  • Prepare ad hoc financial analysis and reports as needed.
ACCOUNTS PAYABLE/RECEIVABLE (45%):
  • Work closely with the accounts payable team at Woodruff Arts Center to guarantee daily invoice recording in Workday, act as a staff liaison addressing HMA vendor-related inquiries, and comply with the campus-wide schedule for month-end closure.
  • Shepherd staff in the monthly processing of credit card charges and year-end payables accruals.
  • Prepare cash and check deposits for armored car pick-up per weekly schedule.
  • Confirm revenue batches are posted daily in Tessitura, HMA's CRM for ticket sales and donations management, and ensure the successful posting of created journal batches into Workday.
  • Record the daily sales from the Museum Shop into Workday.
  • Empty, count, deposit, and report on funds from Donation Boxes quarterly or as needed.
  • Work closely with HMA special events staff to process and reconcile all receivables and payables are processed in a timely manner.
FINANCIAL SUPPORT (10%):
  • Establish and maintain healthy working relationships with internal and external departments to ensure the smooth flow of communication and workflow in the financial revenue recognition processes.
  • Communicate accounting policies and procedures to museum staff as needed.
  • Assist in Museum Shop physical inventory on as needed basis.
  • Develop and maintain living document of responsibility area process steps.
  • Serve as backup support to the Deputy Director's Admin in processing shared services invoices.
  • Perform special projects and tasks as needed.
OTHER SKILLS AND ABILITIES:
  • Strong bookkeeping, analytical, computer, and communications skills essential.
  • Skilled in math, accounting, and financial processes.
  • Strong knowledge of software applications, including Excel, Word, Workday and Tessitura.
  • Professional maturity, excellent organizational and interpersonal skills. Must have a powerful desire to learn all aspects of the museum as they relate to accounting.
EDUCATION / EXPERIENCE:
  • Minimum of a bachelor's degree in accounting and three-five years of accounting experience. Or an equivalent combination of education and experience.
  • Experience working in a non-profit environment highly desirable.
  • Workday and Tessitura experience highly desirable.
LANGUAGE SKILLS:
  • Ability to author and discuss reports, business correspondence and procedures.
  • Ability to effectively present information to the museum staff.
MATHEMATICAL SKILLS:
  • Reasoning to interpret financial data furnished in written or oral form.
  • Ability to solve problems and prioritize needs in a variety of situations where immediate decisions may be necessary.
