These functions include but are not limited to the following: Attend, take minutes electronically in real-time utilizing Consolidated Court Automation Program (CCAP), mark exhibits and administer oaths at court hearings. Electronically generate Notices of Hearing, Bail Bonds, and other documents as ordered at the time of the hearing by the Court and distribute to all parties. Operate courtroom technology, conference line, and Zoom during court proceedings. Process disposition of cases in database according to established office procedures. Prepare and distribute all post-disposition paperwork to all parties and agencies including but not limited to; Judgments of Conviction, Dispositional Orders, Deferred Prosecution Agreements, Commitment Orders and all other orders of the Court. Enter accounts receivable amounts into CCAP computer system, generate billing statements and reminder notices. Manage work flow to ensure all cases are efficiently and accurately maintained in a timely manner. Act as representative of the Clerk of Court when communicating with pro se litigants and attorneys in person or by telephone. Make independent decisions as the situation may dictate within the scope of the position description. Perform a variety of clerical tasks in connection with the maintenance of court records. Accept and process electronic filed documents through the E-filing system. Scanning and processing of paper documents into CCAP database. Electronically route documents to assigned court official per office procedure. Schedule and send notices of hearing dates requested by judges, attorneys and pro se litigants, within statutory time limits. Process substitution of judge requests and recusals. Compose communications involving legal terminology, orders, including warrant cancellation orders, expungement decisions and other court orders. Distribute in accordance with office procedure. Review and update litigant addresses and legal representation as necessary. Contact and confirm interpreters for upcoming court proceedings. Update confirmed interpreter in CCAP. Open mail, date stamp, reply or route according to procedures established by the Clerk of Court. Create or receive for distribution to the court proposed orders. When signed by the court distribute to appropriate offices, agencies and parties. Contact attorneys for guardian ad litem appointments, enter attorney in CCAP and route affidavits and other relevant documents to the guardian ad litem. Provide procedural information to pro se parties regarding filing new cases, motions and other legal documents. Prepare, electronically create an index and monitor cases that are appealed. Prepare, distribute, receive and record juror questionnaires, calendars and surveys. Maintain calendar of jury trials. Electronically assemble jury panels, prepare juror lists for court cases, and set jury phones. Collect and distribute jury statistical information. Monitor emails in the shared juror mailbox and respond to jurors in a timely manner. Perform any other office duties that are required or may be assigned. Minimum Requirements: High school education or equivalent. Two or more years’ experience preferred in the Clerk of Circuit Courts office as a Court Services Assistant, Judicial Assistant, Accounting Assistant or Specialist. Proficient in typing skills. Comprehensive knowledge of CCAP case management software and procedures. Comprehensive knowledge of judicial system, office practices and procedures. Ability to interpret, understand and utilize legal terminology, including the preparation of legal documents. Ability to exercise discretion and make decisions based on legal parameters and office policies and procedures. Ability to efficiently utilize the CCAP computer system for automated record keeping, scheduling and preparation of documents. Ability to maintain a high level of discretion, confidentiality and integrity, and utilize good judgment, tact and courtesy in dealing with all parties. Work Environment: Work is performed primarily in a standard office setting. Ability to lift up to 20 pounds and a combination of sitting and standing postures may be required. Ability to regularly work eight hour days and 40 hour weeks is required. Must be able to operate standard office equipment including but not limited to telephone, computer, facsimile, calculator, printer, photocopier, scanner and microfilm/microfiche reader. #J-18808-Ljbffr
