Group Operations Associate - In-Office

Embark on the next step in your career journey with Direct Travel

As a key member of the Travel with Alan, A Subsidiary of Direct Travel, team, the Group Operations Associate will work in conjunction with our Group Reservations Team to collectively support our group travel division. You will utilize your superior organization and task management skills to ensure the highest level of client satisfaction through document creation, travel coordination, and operations support.

This role will work closely with Travel with Alan new and existing clients, cruise partners, fellow Travel with Alan's Reservations & Operations Associates, and report to Travel with Alan's Manager of Group Operations.

This position is 100% office-based, and the prospective candidate should reside within commuting distance of Direct Travel's Lynnwood office.

Expedition Expectations

* Coordinate with Group Reservations Team to maintain our customer database and organize client information into spreadsheets (e.g., cruise line manifests, hotel rooming lists, air itineraries, ground transfers, and client preferences/requests). * Deliver quality customer service on all calls and emails, you will proactively assist with problems that might occur on a reservation; partnering with the Group Reservations Team or management to resolve the problem in a courteous/timely manner. * Prepare, edit, and distribute communications (e.g., letters, emails, invoices, reports, etc.) to clients, travel providers, and internal staff. * Assist with invoicing and processing outstanding payments to ensure all clients are paid-in-full for their upcoming tour(s). * Initiate responses to time-sensitive requests and ensure responsible parties respond within established deadlines. * Support special projects as directed by the Manager, Group Operations or Director, Cruise Operations & Technology.

Passport to Success

* May have previous experience in working in operations support or customer service. * Have excellent interpersonal and communication skills (verbal and written) to interact with customers, employees, and travel providers. * Has work history reflecting ability to apply critical thinking and problem-solving skills, with excellent judgment and initiative. * Is collaborative, decisive, and detail oriented. * Possesses the ability to multi-task and respond quickly to a change of plans, bursts of inspiration, or tight deadlines. * Is skilled at Microsoft Office Suite, Excel, Outlook, Teams, and Word. If they have Customer Relationship Management (CRM) or Smartsheet experience, even better * Should reside within commuting distance to Direct Travel's Lynnwood office, as this will be a 100% in-office role. * Adheres to confidentiality guidelines set by Travel with Alan leadership. * Must be able to lawfully work within the US and have unrestricted work authorization for U.S.

Salary Range:

* $19.90 To 21.40 USD Hourly

Travel Requirements

* Ability to travel up to 5%
