Main Line Fertility (www.mainlinefertility.com) is seeking a full-time Patient Care Coordinator to join our team in the Bryn Mawr clinic.Our Patient Care Coordinator will be efficient, accurate, and professional. Primary duties include providing exemplary customer service by working collaboratively and proactively with physicians, clinical team members and other MLFC employees to provide administrative and practical support to patients demonstrating 100% commitment to a positive, seamless patient experience.

Hours:Monday - Friday, 7:30am to 4:00pm.Holiday rotation will be required.

Essential Responsibilities:

  • Provides information available in the patient's chart and/or refers patient to the appropriate licensed personnel for matters which require interpretation of test results, treatment recommendations and/or clinical review.
  • Responds professionally, respectfully, compassionately, and timely to on-site, phone and email correspondence from patients and fellow MLFC staff members; explains the procedures to be conducted as well as the benefits of MLFC; reviews past test results and reviews consents for treatment plan as determined by the physician.
  • Coordinate patient care from the beginning of their journey by initiating contact to review the treatment plan outlined by their provider and scheduling all necessary appointments.
  • Complies with applicable regulations and laws; adheres to the policies, procedures, and rules of MLFC; in particular, attendance and punctuality policies due to the sensitive timing of patient procedures; follows front desk protocols and standard operating procedures within the permissible scope of the practice; and complies with all safety policies.
  • Maintains strictest confidentiality, in accordance with HIPAA regulations.
  • In coordination with other team members, reviews client records to ensure they are complete and up to date; determines whether tests ordered have been completed; and arranges for any missing or new necessary lab tests to be completed.
  • In coordination with other team members, facilitates and/or ensures that patients are scheduled for financial consultation and facilitates scheduling of appointments with other consultants as dictated by physician orders, providing timely and accurate information to patients regarding future appointments and scheduled procedures; ensures all pre-cycle testing and procedures are complete, proactively remaining in contact with patient through pre-cycle process.
  • Consults with patients to discuss cycle plan and to create anticipated calendar, following established treatment protocols, reviews necessary consents, and provide information to patient as required and as consistent with permissible scope of practice.
  • Updates cycle calendar when female patient has menses, ensuring all appropriate dates are scheduled in EIVF and communicated to patient.
  • Participates in clinical staff meetings, providing feedback and recommendations for improvements to clinic management.
  • Cross-trained and provides coverage for other coordinators when necessary.
Required Education/Experience:
  • High School Diploma or equivalent required, Bachelor's degree preferred
  • One year of medical - administrative office experience required
  • Women's health or fertility experience preferred
  • Experience with Electronic Medical Record (EMR) system strongly preferred
