Job Description
SCOPE OF POSITION
The Engineering Systems Coordinator will communicate with other team members effectively; relaying essential information in a helpful and timely manner. The Coordinator will demonstrate a willingness to be a team player through mutual respect and cooperation with others; flexibility in work assignments and adaptability as needs change. The Coordinator will adhere to policy and procedure regarding safety, fire and disaster, OSHA, and other department mandatory in-services. This individual will be able to communicate and initiate the fire plan upon request/need. Additionally, this individual will coordinate and monitor costs associated with billing, orders, and inventory maintenance against the budget for coding and cost management. The Coordinator is the database facilitator for the TMS Work Order system database. This includes creation and maintenance of: asset inventory with repair costs history, preventative maintenance by asset, planned events records by code, work order history, systems report development for the corporate office, TMS system software programming as corporate, or AHJ requirements change.
The Coordinator will manage service, labor, utilities, and maintenance contracts for the Facilities Management Department(s). This includes:
create contracts in conjunction with Ballad corporate legal department, develop Requests for Proposals (RFPs), make contract bid comparisons, call references, provide a summary and recommendation to the Director.
The Coordinator will answer the phone and will maintain filing system for the department. Additionally, the Coordinator will transcribe and distribute correspondence for Director as assigned. This individual will coordinate the assembly of data for and aids in the completion of reports, questionnaires and other activities as assigned. This individual will coordinate activities for department staff and assist with purchase orders/deliveries and calls to service providers as needed. The Coordinator will manage timekeeping software daily to ensure accurate accounting of time and attendance records of Facilities staff.

EDUCATION AND EXPERIENCE
Associate's degree in Business Administration. In lieu of degree, formal training with at least five years on the job experience as a professional secretary, office manager, or equivalent. Must be cooperative and possess the ability to get along with co-workers. Must present professional and friendly image to the public as well as the medical staff and employees. Must be able to deal with stress, a fast-pace and possess excellent organizational skills. Must have well developed computer skills and proficiency in the use of Microsoft Word, Excel, PowerPoint, Project, and Access. Level III Microsoft Certification in Microsoft Excel and Word preferred. Must be able to type at least 50 words per minute. Must be very familiar with database facilitation.
