Position Summary:

The Warranty Manager is responsible for overseeing operations for all Warranty Department activities and personnel . Maximizes the recovery of warranty expense through the accurate and timely submission of warranty claims to positively affect the company's bottom line. Interfaces with Parts, Sales, Service.

Primary Responsibilities:

This position mandates that the employee be able to perform all the following functions:

  • Monitor, on a regular basis, the warranty claims operation and the Product Analyst's productivity levels;
  • Establish guidelines and controls to maintain warranty claim processing accuracy;
  • Control and minimize outstanding claims receivables;
  • Monitor, assist, and ensure the proper and timely processing of claim work orders;
  • Oversee the completion and receipt of Delivery Service Records to ensure liabilities are met;
  • Work with Caterpillar to ensure timely completion of all Product Improvement service letters by advising all service branches of service letter introduction and related machine population;
  • Ensure accuracy of Warranty Sales Information forms received, match against Delivery Service Records received and enter related warranty information into DBS;
  • Strive for maximum return on claim writing efforts by searching out negative trends through self-audit process and reinforcement of established procedures;
  • Investigate alternative methods to improve claim submission and payment;
  • Review all partially paid claims for possible resubmittal to the factory;
  • Work closely with the District Tech Representatives and service departments on all goodwill related issues;
  • Stay informed of product problems and assist in solving them with all personnel;
  • Plan for and direct the warranty audits for both Engines and Construction;
  • Complete, or assist in the completion of, special requests and projects as received;
  • Assist in prioritization and completion of group tasks;
  • Respond to changing priorities and responsibilities in a timely manner;
  • Work with District Tech Representatives and CBEC Management to implement Caterpillar and dealer defined programs;
  • Maintain a positive approach when dealing with subordinates, press for improvement in skill sets;
  • Find productive ways to instill changes in attitudes and approaches for the tasks at hand;
  • Encourage professional development of all group members;
  • Provide new challenges and opportunities for learning in the work place;
  • Ensure all group members are well rounded in warranty processes and can function without direct supervision;

  • Review, approve or deny work orders of the sales/service departments for claim viability, research warranty coverage to include repeat failures through the Caterpillar DBS system.
  • Utilize Caterpillar warranty guides, Allied vendor guides, parts books, and Caterpillar literature through on-line programs and the Caterpillar SIS, SIMS and Warranty menus.
  • Possess ability to extract failure analysis from service reports and job closing summaries to assure maximum dollar recovery on all claims.
  • Develop and implement warranty training for Service departments.
  • Work with Sales, Parts and Service departments to provide solutions to interdepartmental challenges affecting the smooth operation of the company.
  • Interface with other departments, as necessary, to ensure the continued operation of warranty related information in DBS.
  • Develop, prioritize and complete special projects as needed.
  • Act as a champion for Continuous Product Improvement both within the department and within the company.
  • Act as a champion for improvements to the company culture to help attract and retain talented individuals.
Skills / Knowledge / Qualifications:
  • Exceptional mechanical aptitude
  • comprehensive understanding of Company policies and procedures, work order system, machine history files and the Caterpillar DBS warranty module as it relates to all lines of business.
  • Possess ability to problem solve issues with all manufacturers, and internal management/supervisory personnel.
  • Work closely with all technicians and supervisory personnel as it relates to warranty requirements and the scheduling of training for newly assigned personnel.
  • Must be familiar with Microsoft products and be able to design and run reports as required for special projects.
  • The incumbent must possess strong interpersonal and communication skills.
  • Must have at four (4) to six (6) years of experience in Warranty Administration (Caterpillar dealer or similar OEM) preferred.
  • Must have a degree in Accounting, Management or a related field or an equivalent combination of training and experience acceptable to the company.
  • Should have a strong foundation in Management either by coursework taken or by experience to assure exceptional understanding in dealing with all staff personnel and their related responsibilities and requirements.
  • Must possess a thorough understanding of how the daily processing functions affect the profitability of the organization.
