Summary
Assists the Directors of Primary Care and Specialty Clinics in evaluating and improving clinic operations, training and mentoring Practice Leads, and implementing operational/programmatic changes throughout the Multispecialty Clinics (MSC).

Essential Duties and Responsibilities

  • Oversees all aspects of clinic operations and personnel-related clinic performance and compliance.
  • Streamlines clinic operations for efficiency; promotes optimal clinic workflows specific to service line.
  • Ensures adequate staffing for each clinic based on volumes.
  • Completes hiring and onboarding of new clinic staff.
  • Acts as a primary resource for MSC clinics and Leads.
  • Develops and executes initial and ongoing training programs for Practice Leads.
  • Assists Practice Leads with applying High Reliability practices.
  • Conducts periodic audits of each clinic to ensure compliance and survey readiness and works with Practice Leads to address any deficiencies.
  • Maintains knowledge of computer software used to manage department operations and educate staff on appropriate and efficient use.
  • Completes physician and staff payroll.
  • Assists the business office with billing issues and registration needs.
  • Assists the Director Primary Care/ Specialty Clinics with the analysis and implementation of any of the following:
  • Practice assessments and turnaround.
  • Physician panel changes, transition of private clinics to hospital owned clinics, clinic relocations and changes in clinic licensure.
  • MSC wide operational changes.
  • Workflow analysis and process improvement.
  • Serves as an active participant on the MSC leadership team, and collaborates with the Director of Primary Care/Specialty Care on any of the following:
  • Leadership and direction of the MSC.
  • Problem identification and resolution.
  • Staff concerns and issues.
  • Improving quality and productivity outcomes.
  • Assist with maintaining compliance for the Rural Health Clinic designation.
  • Oversees staff compliance with all system wide and departmental policies and procedures.
  • Effectively manages all competing priorities and proactively utilizes all available workplace tools and resources to complete job responsibilities in an effective and timely manner.
  • Reviews all MSC invoices relative to Multispecialty clinics, confirms items or services were ordered and received, notifies Director Primary Care/Specialty Clinics of any unbudgeted or unusual items, assigns appropriate department and account codes, and forwards approved invoices to Accounts Payable Department for processing.
  • Collaborates with other department managers to ensure standardization of operational processes and expectations across all MSC clinics.
  • Maintains an effective working relationship with clinic staff, providers, and hospital management.
  • Demonstrates System Values in performance and behavior.
  • Complies with System policies and procedures.
  • Other duties as may be assigned.
