Job Description

Under the supervision of the Assistant Juvenile Court Director, Internal Operations, processes petitions, probation violations, pick-up orders, transfer cases, and mails notices to appropriate parties. Performs case flow management functions in compliance with the Michigan Court Rules and State Court Administrative Office. Works in a variety of case management and document imaging systems. Provides confidential clerical support to judicial and administrative staff.
Essential Job Functions

The essential functions of this position include, but are not limited to, the following:
  1. Provides customer service on the phone to assist clients with Court policy and procedure, questions concerning case or account status, and distribution of appropriate court forms. Assists parents, guardians, schools, law enforcement agencies, caseworkers and other duly authorized parties to obtain appropriate information concerning juvenile offenders and wards of the court in compliance with court policy and state statute.
  2. Assists in case processing by recording and distributing petitions; receiving and processing cases from other jurisdictions to ensure proper case flow management in compliance with State Court Administrative Office guidelines; preparing Orders to Transfer Court Jurisdiction, including follow-up with resident county to ensure acceptance of the petition; and preparing and distributing Orders to Apprehend, including follow up to ensure orders are entered into and taken out of the LEIN system as appropriate.
  3. Processes all juvenile traffic cases, schedules pre-trial hearings, as necessary, and prepares abstracts of traffic cases for the Secretary of State and transmits them for entry into driving record, restricted driver's licenses and suspensions.
  4. Provides direct support to casework staff to complete essential functions and projects (e.g., YLS project support, EPICS program support, etc.).
  5. Provides general office support and all other duties as assigned, including serving as a back-up to the Assistant Juvenile Register.

Required Education, Training and Experience

Associates Degree in business, office management, legal secretarial or other relevant field plus one (1) year of progressively responsible experience in a position requiring extensive public contact, or an equivalent combination of education, training and experience.
Additional Requirements and Information

REQUIRED KNOWLEDGE AND SKILLS:
  1. Thorough knowledge of office protocols, practices and procedures including privacy requirements related to court records and files.
  2. Computer literacy, including thorough knowledge of word processing, spreadsheet, imaging and database management applications software.
  3. Working knowledge of Michigan Court Rules and State Court Administrative Office rules, regulations and requirements and the Michigan Juvenile Justice Benchbook.
  4. Excellent organizational skills and ability to prioritize workload, including good time management.
  5. Excellent interpersonal and human relations skills, including the ability to interact positively and professionally with judges, attorneys, prosecutors, law enforcement officers, employees, community and business representatives, defendants, families of juvenile offenders, Protective Services workers and other parties.

Verbal and written fluency in Spanish, Cambodian, Lao or other language commonly spoken by one or more demographic groups represented in the population strongly preferred.
