Job PurposeUnder the direction of the Principal and/or Regional Director of Operations, the School Operations Manager will play a critical part of the leadership team at the school. S/he will be responsible for all matters of school operations and administration that do not directly relate to instruction and student behavior. The School Operations Manager is the primary driver of policy implementation, financial analysis, and systems development within the school.Essential Responsibilities and CompetenciesOperationsWork with Open Sky and the Regional Team to oversee the purchase and maintenance of technology equipment and infrastructure, implementation of technology training, and management of technology consulting relationshipsMonitor, submit, and organize all invoices and packing slips for incoming and outgoing deliveries Lead the planning and coordination of logistics for student transportation if applicableHelp to plan, prepare, and coordinate school events and activities as neededSupervise office management, security personnel, custodians, contractors, and other non-instructional staffEnsure the school facility and grounds are well-maintained and manage the timely resolution of all related issuesEnsure the smooth operation of the main office including mailings, attendance reporting, office machine maintenance, etc.Ensure school-wide compliance with health and safety laws, Department of Instruction or Education mandates, and all federal and state workplace regulations in partnership with leadershipComplete all compliance information for food and transportation if applicable, including collection of free and reduced lunch information to determine family eligibilityCoordinate school security, safety drills, and bell schedules according to school needsWork with school staff to ensure hallway and general facility decorations meet all relevant codes and are updated and maintained regularlyFinance & Human ResourcesPartner with the Principal to manage the school budget process including the annual budget development and ongoing budget managementAccurately enter invoices, generate checks, and control receipt of purchased items within accounting softwareEnsure proper internal control of organization's assets and assist Open Sky Finance Team with internal/external audits.Generate operating and financial reports in relation to school performance for review with the school leader and the Open Sky Finance teamWork with Open Sky HR and appropriate school-based staff to maintain, update, and communicate the Employee HandbookEnsure applicable hourly employee timecards are accurate and submitted to Payroll in a timely mannerMaintain personnel records and tracking of staff sick and personal daysServe as the school-based point of contact for benefits and HR questions in conjunction with Open Sky HR teamStudent Information and Records KeepingOversee new student enrollment by coordinating open houses, processing applications and tracking all enrollmentsMaintain a comprehensive student enrollment and withdrawal process to collect and record pertinent informationManage the collection and maintenance of student information (receiving forms and paperwork, tracking missing forms, managing databases, updating contact information, keeping records current, etc.)Ensure testing materials are properly ordered, received, and submitted for scoring; assist with logistical testing planningOversee student files to ensure all proper documentation is collected, tracked in our computer system, organized and filedManage student attendance, such as processing late arrivals and following-up with the families of absent students when necessaryCorrespond regularly with families regarding updates to school policies, trips, events, and other relevant information.Assist with creating and managing the student recruitment process by maintaining list of community partners with which to correspondPerform other duties as requested or requiredQualificationsBachelor's Degree with management, accounting, operations or HR focus preferredAt least 3+ years of work experience preferably in an operations management capacity, in a fast-paced, entrepreneurial environmentPrevious experience working in a school environment preferredComfort level with financial oversight and budgetary tracking to support strategic growthExperience with accounting, financial oversight, and human resources desiredExperience working managing multi-functional teams to achieve desired resultsProficient in MS Excel, MS Word, PowerPoint, and OutlookPersonal QualitiesIntegrity, credibility, and passionate commitment to HOPE's mission of Christ, College, and CharacterStrong relationship building, interpersonal, verbal, and written communication skillsCommitment to loving our scholars, an unwavering belief that all children can and must succeed, and a deep passion for developing the character of a serving leader in every childOpen to feedback and committed to continuously improvingHighly organized and detail oriented with the ability to effectively multi-task and thrive in a fast paced environmentCustomer Service oriented self-starter who takes initiative to proactively resolve problems with a high sense of urgencyDependable and adaptable with the capacity to handle competing demands and complete tasks within deadlinesRelentlessly focused on developing and implementing processes to increase effectiveness and efficiencyAn individual in this position must be able to successfully perform the essential duties and responsibilities listed above.
