Our team is growing, and MassBio is seeking an Events Manager responsible for all aspects of MassBios Premier Conferences, as well as Member Forums and Roundtable events. Our ideal candidate will be a motivated and hands-on collaborator, with 3 or more years of event/program management experience, with a focus on enhancing value and relevancy for members through best-in-class content and premier networking opportunities. This is an in-person role, located in our Cambridge office.

Key Responsibilities Include:

  • Support, planning, and project management of conferences and networking events to include the oversight of event set-up in the CRM, managing registration, and partnership with the Communications team to generate content
  • Coordinate with stakeholders, identify topics of interest, invite speakers, and manage logistics to create engaging and productive roundtable sessions.
  • Develop and execute the Sales and Marketing Strategy for Premier Conferences, maximizing the utilization of all tools, services and networks available to MassBio
  • Plan and oversee the execution of events to include the sourcing and negotiation of venue and vendors, catering, oversight of logistical elements and management of event and onsite staff, creation of sponsorship prospectus and contract execution and oversight
  • Research and identify relevant topics and themes for roundtable discussions, aligning with the organization's goals and target audience interests
  • Collaborate with subject matter experts and thought leaders to develop engaging and insightful discussion topics
  • Prepare briefing materials, discussion guides, and presentation materials for participants and speakers.
  • Establish and execute feedback mechanisms for membership on relevance and experience of events; develop a strategy to share feedback with MassBio staff and incorporate feedback into future events
  • Assist in logistics and support for other MassBio events, including but not limited to Policy events and Pharma Days
  • Support execution of events carried out in partnership with other organizations
  • Execution of Forum and Roundtable events in the MassBioHub, MassBio's business and conference center, utilizing AV system and Zoom for remote event attendees.
  • Responsible for revenue generation through the sale of sponsorships
  • Research and develop a list of potential sponsors for each conference and maintain relationships with potential sponsors and exhibitors for future events; create invoices for sponsors and exhibitors once agreements have been reached
  • Manage on-site badge printing process
  • Other projects as assigned

Qualifications:

  • Bachelor's Degree required
  • 3 or more years of broad-based event and meeting planning experience, preferably at a non-profit or similar organization
  • Strong project management and time management skills, with the ability to independently manage competing priorities in a fast-paced environment
  • Exceptional organizational skills and attention to detail required
  • Proven leadership skills and ability to collaborate throughout all levels of the organization
  • Professional communication skills with a commitment to delivering a high level of customer service; ability to remain approachable throughout the project cycle
  • Shows initiative, flexibility, and creativity to move projects through completion
  • Technically savvy; highly proficient in Microsoft Office Suite and familiar with Microsoft Dynamics
