Meeting Planning Coordinator - NAD . This is a 6-month contract based out of Los Angeles, CA (Hybride).

The Meeting Planning Coordinator manages meeting planning activities, including the Advisor Forum Program, National Sales Meetings, and Advisory Council Meetings. This includes comprehensive planning and execution of both small- and large-scale meetings and events for the North American Client Group.

Qualifications:

Bachelors degree is preferred but not required.

Partners with various groups to serve as a meeting coordinator.

Coordinates all meeting-related details including consultation with internal clients, site selection, vendor negotiation and selection, and preparation of correspondence and meeting materials.

Secures meeting space and confirms logistical details.

Manages attendee list and coordinates the invitation process.

Coordinates delivery of meeting materials to meeting locations.

Demonstrates strong production coordination skills including maintaining schedules, tracking deliverables, problem-solving, and escalating issues as appropriate.

Involved in additional department-related projects as needed.

Demonstrates strong customer focus and commitment to providing superior service.

Demonstrates strong written and verbal communication skills; strong grammar and syntax skills; strong presentation skills; strong interpersonal skills.

Demonstrates the ability to effectively communicate with a diverse group of associates, senior business leaders, and/or advisors.

Requires willingness to travel to meeting locations as needed and attend evening and weekend functions.

Demonstrates strong computer skills, especially in Microsoft Word, Excel, and Access; experience in Microsoft Outlook, PowerPoint, and online registration is highly desirable.

Requires a minimum of three years of corporate meeting planning or related hospitality experience, including venue research, site selection, contract negotiation, budget management, food and beverage selection, onsite meeting management, and project management.

Previous experience in the hospitality industry is highly preferred.

Responsibilities:

Maintaining team calendar and supporting the team with complex calendaring/meetings (e.g. external client meetings, speaker prep calls, working group calls, Speaker/Sales calendar holds, etc).

Assistance with reporting and validating data across events from both Cvent and SalesForce.com.

Pay Range for CA, CO, IL, NJ, NY, WA, and DC: $41.38/hour to $41.38/hour. Starting rate of pay offered may vary depending on factors including but not limited to, position offered, location, education, training and/or experience.
