Job Description

The Human Resources Coordinator works within the Office of Human Capital administrative and clerical HR support. The Human Resources Coordinator will support the verification company and the city's MBTA Passport Program. Under the supervision of the Chief of Human Capital, the HR Coordinator will support department needs, including but not limited to: background screenings, employment agreements, mailings, and notifications. This is a self-directed role and demonstrates independence and initiative. The candidate will be required to handle confidential and time-sensitive information, often working with tight deadlines.

GENERAL RESPONSIBILITIES:
  • Serve as primary contact for verification company and unemployment claims management
  • Oversee MBTA Passport Program communication and distribution in collaboration with City Hall
  • Provide human capital advice, assistance, and follow-up to the organization's external partners (volunteers), schools, and central office departments; providing clear and accurate communication consistently and frequently to ensure staffing needs are met and staffing records are current
  • Provide department staff with excellent customer service by supplying correct information or forwarding calls to appropriate resources within the department;
  • Provide or collect information from candidates and troubleshoot questions about HR-related issues;
  • Prepare and complete a variety of management reports and metrics for employee data;
  • Compose correspondence, reports, memorandums, meeting agendas, and other documents using word processing, spreadsheet, or presentation software;
  • Assist with developing and providing professional development and/or trainings to staff regarding effective human capital and talent management;
  • Respond to requests for information regarding Boston Public Schools policies and procedures;
  • Manage the criminal background screenings for staff and volunteers;
  • Serve as contact person for district-wide employment agreement (EAE)
  • Support with mailings and notifications
  • Additional related duties as assigned.
QUALIFICATIONS - REQUIRED:
  • Bachelor's Degree or commensurate experience
  • Excellent organizational skills and demonstrated ability to multitask and prioritize daily tasks;
  • Demonstrates strong attention to detail and ability to analyze and solve problems quickly and accurately;
  • Ability to work independently with a keen sense of follow-through;
  • Strong interpersonal and customer service skills;
  • Experience working effectively with a wide range of constituencies in a diverse community;
  • Excellent verbal and written communication skills;
  • Strong commitment to work quality;
  • Strong technical skills, including ability to work with, analyze and communicate analysis of large data sets;
  • Able to coordinate and work effectively with diverse staff;
  • Able to work in a team oriented environment;
  • Ability to provide accurate and efficient customer service;
  • Experience and proficiency with Microsoft Office products (e.g. Excel, Word, and PowerPoint), and Google applications.
  • Current authorization to work in the United States - Candidates must have such authorization by their first day of employment
QUALIFICATIONS - PREFERRED:
  • 5 years of HR or related experience including general knowledge of employment law and regulations;
  • Experience with Peoplesoft or other HRIS;
  • Experience in developing and delivering training;
  • Strong technical skills, including ability to make adjustments to existing code and familiarity with programming languages (e.g. HTML, Java Scripts, etc.)
  • Bilingual skills in Spanish;
  • Previous experience in union environments;
  • Familiarity with large complex unionized environment;
  • Willingness to take on leadership role and "go the extra mile".

Terms: Managerial, B31. 12-month work year. Occasional evening and weekend work.
