About The Role
The Tenant Service Coordinator plays a critical role in providing exceptional service and support to tenants, ensuring a seamless experience in all aspects of their interaction with the property. This role involves serving as a primary point of contact for tenants, handling their inquiries, coordinating move-in and move-out processes, and maintaining accurate records. The Tenant Service Coordinator also works closely with property management, leasing, and building operations staff to deliver a high level of satisfaction and operational efficiency.
What You Will Do
Tenant Relations: Proactively establish and maintain positive relationships with tenants, acting as the main point of contact for inquiries and requests related to building operations, leasing, and management.
Move-In/Move-Out Coordination: Oversee the complete process for tenant move-ins and move-outs, including scheduling, documentation, and ensuring all necessary procedures are followed.
Angus Platform Management: Collaborate with the Property Manager, Assistant Property Manager, and Lead/Chief Engineer to manage the Angus platform. Tasks include maintaining tenant contact information, managing the preventative maintenance program, processing tenant work orders, and sending tenant email blasts.
Portfolio Management: Manage portfolio lease files, including creating new tenant files, filing tenant correspondence, and regularly updating portfolio electronic directories.
Access Control: Manage the portfolio card access system for tenants, ensuring secure and controlled access to the property.
Administrative Support: Provide administrative support to property managers, engineers, and tenant coordination staff. Duties include phone management, filing, mailings, and other general administrative tasks.
Record Keeping: Maintain accurate records of tenant interactions, work orders, and maintenance schedules, ensuring data is up-to-date and easily accessible.
Problem Resolution: Handle tenant issues and concerns promptly and effectively, working closely with property management and other team members to resolve problems and maintain tenant satisfaction.
Additional Duties: Perform other duties as assigned to support the overall goals and objectives of the property management team.
About You
Bachelor's degree in business, real estate, or relevant job experience.
2-3 years of experience in a fast-paced, customer focus environment.
Strong communication and interpersonal skills with a focus on delivering exceptional customer service.
Excellent organizational and time management abilities with a keen eye for detail.
Familiarity with property management software, such as the Angus platform, and experience with access control systems.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software tools.
Ability to work effectively both independently and as part of a team.
Strong problem-solving skills and the ability to handle multiple tasks simultaneously.
