Were seeking a highly organized and dependable Administrative Coordinator to support the preparation and execution of recurring board and client meetings. This position ensures all meeting logistics, documentation, and communication are handled with accuracy, professionalism, and timeliness. Key Responsibilities Draft and finalize board meeting agendas in coordination with internal team members. Submit and post finalized agendas and supporting materials to the appropriate agencies or governing bodies. Track attendance and confirm quorum requirements by communicating directly with board members and stakeholders. Prepare, distribute, and update meeting packets and minutes as needed. Coordinate meeting logistics, including scheduling, location setup, and communication with attendees and consultants. Maintain accurate records of posting certificates, agenda filings, and meeting documentation. Follow up on outstanding action items, project documents, and other meeting-related requests. Provide general administrative support to internal teams to ensure smooth operations. Qualifications 57 years of professional administrative experience, ideally in a government, legal, or consulting environment. Advanced proficiency in Microsoft Office, especially Outlook and Word. Strong verbal and written communication skills with a polished, professional demeanor. Excellent attention to detail and organizational abilities. Proven success managing multiple projects and meeting tight deadlines. Ability to work independently while maintaining effective communication with colleagues and clients.
