Job Summary This employee will be the primary passport acceptance agent for the department. They will greet customers, help them with applications, take photographs, execute passport applications, prepare applications for mailing, and ensure delivery of applications. Maintain and update customer database. Other customer service tasks may be assigned during slower business times. Minimum Education and Experience High school diploma or equivalent. Three years related work experience or accounting coursework; or equivalent combination of education and experience. Preferred Education and Experience Fluency in Spanish Experience working with people of diverse cultural backgrounds, experiences, and ages Previous customer service experience. Essential Duties and Responsibilities Appointments: Accepts passport applications from individuals, verifies the identity of individuals and documents submitted Completes transmittal sheets Prepares passports for mailing Verifies all passport mailings have arrived at processing facilities Uses the camera and printer to take passport and visa pictures Accepts payment (credit/debit) from customers Checks customers in and maintains order in the lobby Maintains acceptance agent certification Customer Service: Sends out end-of-day surveys (passport & office) & monitor responses Answers customer questions about the passport application process (phone, e-mail, and in-person) Updates appointments through Bookings Administrative tasks: Maintains supplies and orders when needed Settles the credit card machine nightly Reconciles payment transactions Keeps daily/monthly tally of passports executed Opening and Closing duties as assigned Works on promotional materials, flyers, social media, posts, and mailings promoting our passport facility Ensures daily delivery of passport applications to the USPS. If mail pick-up is not available by the post office, Passport Services Associate will deliver applications at a U.S. Post Office to a USPS associate. Miscellaneous: Maintains quality of work and attention to detail in a high-volume and high-traffic environment Being present and on time for all scheduled shifts unless otherwise arranged with the supervisor Follows the FERPA guidelines that all university personnel must abide by Assists staff with planning and staging events like Passport Fairs Other duties as assigned Physical Activities Working Conditions Additional Information REMOTE WORK NOT AVAILABLE – A remote work schedule is not available for this position. Ensures daily delivery of passport applications to the USPS. If mail pick-up is not available by the post office, Passport Services Associate will be required to deliver passport applications to a U.S. Post Office to a USPS associate.
