Operations Engagement and Support Manager
RxBenefits is hiring We are seeking an experienced professional for the Operations Engagement & Support Manager to step into a highly dynamic role supporting a variety of functions for the largest department at RxBenefits - the Operations Team. The most critical focus of this role will be in the support of day-to-day employee experience and engagement. The ideal candidate must be strategic in the planning and thorough in the execution of tasks that aim to recognize, celebrate, and support employees year-round. Additionally, this role will be responsible for a variety of administrative duties in support of the teams success, a function that can be dynamic as the needs of the team grow. This role will also assume Executive Assistant support responsibilities for the VP, Operations. The first and only of its kind, the ideal candidate is ready to take on the defined scope of the role while also embracing ambiguity and apply a highly professional and experienced focus on developing the structure and routines to ensure ultimate success.
Job Responsibilities Include:
Lead the strategic planning and execution ofall employee experience and engagement activities for all operations teams
Oversee budget of employee relations activities, ensuring funds are spent in the most strategic and impactful ways possible to engage and recognize employees in a meaningful way
Build strong partnerships with all Operations leaders, developing a roadmap for employee experience that aligns to their vision and supporting them in execution on all fronts
Own Confluence page updates for the Client Operations and Onboarding teams; this role must create a mechanism for change requests, a process for completion, guidelines for versioning and accuracy, and SLAs to ensure proper support; (this role is not responsible for creating documents or curating content, only the updates as requested)
Collaborate heavily with the Executive Assistant team, ensuring standards established and managed by that team are understood and followed within Operations
Coordinate the Member Services compliment call process - developing procedures, working with MS leadership and ensuring timely visibility and celebration of those complimented
Establish a working relationship with appropriate HR resources to ensure that employee relations efforts are in compliment to larger corporate efforts
Develop mechanisms to measure success and distribute quarterly reporting demonstrating the value and impact of the role
Build and maintain a performance-based culture
Support production-level, client work during Q4 peak season with a focus on current client cases for a minimum of 50% of capacity from October December
Maintain knowledge of RxBenefits products and services to best support leaders, team members, and other administrative tasks as assigned
Act as the primary executive assistant to the VP, Operations, performing advanced, diversified, and confidential administrative duties requiring broad and comprehensive experience, competencies, and knowledge of organizational policies and practices
Manage the day-to-day business activities of VP, Operations
Manage extremely active calendars in Outlook
Complete leaders expense reports in accordance with Accountings requirements and deadlines
Compose and distribute correspondence on behalf of leader
Arrange complex and detailed travel plans, itineraries, and agendas
Research and handle special projects
Assist with preparation of materials for meetings including detailed creating and formatting of professional presentations and documents
Operate the business administration functions of the executive office using independent judgment, discretion and diplomacy, and make day-to-day administrative and operational decisions
Interact effectively with all levels of employees throughout the company, ensure that communications are timely, clear, and professional
Make decisions with general management direction and exercise greater latitude based on extensive administrative experience and knowledge of operations, policies, and procedures
Any and all other duties, projects, tasks, assignments, challenges, and opportunities as assigned
Required Skills / Experience Include:
Bachelors degree or commensurate experience required (3+ years)
Demonstrated experience with corporate culture activities and employee engagement
Ability to develop and manage to a budget
Working proficiency of company standard MS Windows and associated office productivity software tools (Word, Excel, PowerPoint)
Loves to say yes but has the refined ability and willingness to say no
Experience with project management software desired (AdaptiveWork, Asana, etc.)
Experience with knowledge management system, Confluence specifically, is a strong plus
Some analytical skills with ability to use data to develop roadmaps and demonstrate value
Exceptional partner in collaboration with others
Genuine care for others with a demonstrated thoughtfulness and understanding of how details and decisions impact employees connection, value, and experience
Process minded individual who understands the steps necessary to effectively guide a project, ensuring a proactive approach that is mindful of cost, resources, and the end result

Excellent written, verbal, and presentation skills; this person is personable and engaging and able to pull people in to conversation and activity

Ability to work independently in a remote environment and provide prompt support to multiple leaders across multiple time zones
