Rental Car Coordinator

Rental Car Coordinator is responsible for making sure rental vehicles are prepared for rent, customer interaction, filling out rental contracts completely, inspecting vehicles both when they are rented and returned, closing out the contracts, and ensuring payment is collected when needed.

REQUIREMENTS AND QUALIFICATIONS

  • High school diploma or equivalent
  • Proficient in Microsoft Office, and data entry experience
  • Multi-line telephone experience
  • Professional appearance and disposition
  • Fluent in the English language
  • Strong listening, and accurate notes taking skills
  • Excellent verbal and written communication skills
  • Must be able to convey messages to employees clearly and quickly
  • Detail oriented

DUTIES AND RESPONSIBILITIES
  • Handle telephone inquiries regarding work in process and appointments and return phone messages
  • Efficiently communicate with callers, minimizing the time they are put on hold
  • Ensure all invoice totals and receipts are accurate
  • Have every repair order & credit card receipt signed by the customer at the time of payment
  • Answer customers' questions pertaining to the invoice with honesty and integrity
  • Ensure that customer complaints are handled promptly, with genuine concern and according to O'GARA's guidelines
  • Update customer information in the system as necessary
  • Establish excellent working relationships with customers
  • Properly create loaner car agreements ensuring that clients provide current driver's license, current insurance, and valid credit card

  • Provide client with explanations about potential charges that can arise from using our loaner vehicle
  • Provide a seamless handoff of the loaner vehicle to the client explaining the walkaround sheet, the vehicle itself and what is expected upon their return to O'GARA
  • Create repair orders to charge clients for toll road violations, parking tickets or damage to vehicle
  • Check loaner vehicles for recalls or updates and create repair orders to get work accomplished
  • Daily check on existing inventory for compliance of our standards such as full tank of gas, cleanliness of vehicle and damage
  • Check-in vehicles as they come in from finished clients. Go over vehicle for possible damage, non compliance with fuel levels at the time of checkout, excessive miles and cleanliness
  • Ensure returned vehicles are washed, fueled and ready to go within a 2-hour period of initial return
  • Report to management any situation or condition that jeopardizes the safety, welfare or integrity of O'GARA, its personnel or customers
  • Ensure warranty claims are processed accurately and promptly
  • Prioritize work to ensure all deadlines are met
  • Maintains timely and professional contact with customers and employees
  • Maintains an organized
  • Prepares estimates when required
  • Maintains high customer satisfaction ratings
  • Comply with all federal, state and local laws, as well as O'GARA's policy, regarding safeguarding customers' vehicles, property, and information
  • Perform other job-related duties as assigned by management

Compensation: $23.00 - $27.00 depending on experience
