Supports users with daily procurement inquiries to support business requirements in a timely fashion. Assists and guides users in Procurement tools and communicates requirements. Collaborates with team on process improvements. Back up for Procurement Operations Sr Associates. Responsibilities - Purchase Order compliance: Review and convert requisitions to POs, ensuring compliance to all policies and financial controls; analyze contract content and verify all documentation; ensure accurate coding; engage Legal, Disbursements, Tax, and requestors to resolve discrepancies and invoice issues; back up to Procurement Operations Sr Associates with requisition and supplier (vendor masters) inquiries; utilize P2P tools (e.g., iSupplier, iContract) as well as SAP/Atlas tools; report issues to Proc Ops team, collaborating on resolutions to improve processes. - Supplier profile management: Manage supplier onboarding and updating of profiles, acting as superuser for many dept’s; work directly with suppliers and DS business partners to ensure profiles are completed accurately while avoiding user/business owner confusion and delays; analyze supplier risk system to ensure all new and updated suppliers are monitored; collaborate with Procurement Ops team and Disbursements to identify suppliers to be removed, replaced, or updated. Examine risk alerts against spend reports; alert suppliers, Treasury, and business owners of potential risk. Meticulous tracking of risk communications, maintaining detailed logs and persistently following up with suppliers on progress. - Purchase order stewardship: Analyze daily termination reports and ensure PO business owners/requestors and requisitioners are updated; proactively request requisitioners’ input, avoiding misdirected invoices. Ensure payments terms are accurate, managing the exception process; collaborate with internal and external tax professionals to resolve tax issues on invoices, updating material groups as required. Ensure purchase order and supplier documentation is audit compliant. - Manage office supplies shared mailbox and process: Verify and change user profiles against evolving sales force rosters; assist users with office supplies website and order issues; create ship to addresses and authorize within profiles; delete terminated employee user profiles; collaborate with various dept users to determine new approvers when supervisors are terminated. - Procurement Operations metrics: Create metrics from requisition/purchase order activity as well as vendor master responsibilities, developing insights and adding to SBS overall reporting dashboard; collaborate with Proc Ops team to ensure process documentation is updated and current. Qualifications:
