COURT PROGRAM SPECIALIST II 22011774 State of Florida Sixteenth Judicial Circuit, Key West, Florida (also available at Plantation Key, Florida). Closing Date: 01/31/2026. Job Summary The Court Program Specialist II assists judges and magistrates with the administration and timely disposition of cases in the civil, probate, guardianship, family, domestic violence, and mental health divisions. The role provides case management, monitoring, and program implementation support, answers inquiries from the public, attends hearings, maintains records, schedules hearings, and ensures compliance with time standards. Key Responsibilities Serve as primary contact for litigants and attorneys regarding procedural issues, scheduling, and order processing for civil, probate, guardianship, and mental health cases. Maintain positive interactions with judges, court staff, attorneys, clerks, ancillary agencies, and the public to foster a productive environment. Initiate mental health Baker Act/Marchman Act, Risk Protection Order, or involuntary placement procedures when new petitions are filed. Monitor compliance for Jimmy Ryce cases and report status to assigned judge. Determine case status, schedule hearings, and decide on setting case?management conferences or proceeding without a hearing. Assist judges in managing their caseloads by reviewing and compiling pertinent case information. Prepare case materials for hearings, including historical summations and related documentation. Maintain court dockets, attend hearings, take notes, compose appropriate orders, and provide necessary information to the court. Prepare and process reports and recommendations for cases before the General Magistrate. Coordinate the 6?month calendar for civil cases before the General Magistrate. Produce copies, address envelopes, and distribute correspondence, court orders, judgments, and reports. Communicate with the Clerk of Court about Clerks Memorandums and issue 15?day notices for probate cases violating time standards. Set compliance hearings for probate 15?day notices when necessary. Respond to phone calls, e?mails, and correspondence from litigants, attorneys, and the public regarding case status. Prepare notices and orders as directed by judges. Provide coverage for other court personnel as needed. Participate in councils and workgroups to exchange information, solve problems, and coordinate services. Attend and conduct staff and professional meetings for training and information sharing. Maintain daily, monthly, and yearly statistics on case volumes. Perform clerical support tasks, including correspondence and record?keeping for efficient case management. Attend professional seminars or conferences to improve skills and knowledge. Perform all other duties assigned by the Director of Case Management. Qualifications Bachelors degree in public administration, business administration, criminal justice, psychology, sociology, or closely related field plus three years of professional, administrative, analytical experience preferred; equivalent education/experience acceptable. Knowledge of court procedures preferred. Juris Doctorate may substitute for two years of recommended experience. Professional demeanor, clear written and oral communication, strong spelling and grammar, and ability to concentrate in a stressful environment. Proficiency in personal computer use and common software programs. Skills Language: Read, analyze, and interpret business periodicals, professional journals, technical procedures, or governmental regulations; write reports, business correspondence, and procedure manuals; present information and respond professionally to managers, clerks, clients, customers, and the public. Mathematical: Calculate figures using addition, subtraction, multiplication, division, ratios, rates, and percentages. Reasoning: Solve practical problems and deal with a variety of variables in situations with limited standardization; interpret instructions in written, oral, diagram, or schedule form. Certifications & Licenses Notary Public or ability to obtain commission within three months of hire. Valid drivers license required for travel to all court facilities within the circuit.
