Position Type: Full-Time

Purpose: The Event and Client Services Coordinator is pivotal in orchestrating exceptional premium experiences and client activations during motorsports events and venue rentals at Nashville Superspeedway. This role supports the Vice President of Corporate Sales and the Director of Operations in enhancing and executing the venue's premium offerings, ensuring seamless coordination and execution of high-profile events, and managing client relations to exceed expectations.

General Description: The Event and Client Services Coordinator will be instrumental in planning, organizing, and overseeing special initiatives that elevate Nashville Superspeedway's premium experiences. This includes managing the design and layout of activation areas, coordinating with vendors, maintaining accurate budgeting, and assisting in executing NASCAR weekend Fan zone layouts. Additionally, the role involves supporting the development and implementation of ancillary events and corporate facility rentals to drive client satisfaction and engagement.

Key Responsibilities:
Premium Experiences Coordination:

oAssist and organize premium experiences and client activations during motorsports events and venue rentals.

oWork closely with the Vice President of Corporate Sales and the Director of Operations to execute and enhance existing premium experiences and suites and develop new options.
Vendor and Budget Management:

oManage vendor relations, including selection, negotiation, and coordination, to ensure high-quality service and timely delivery.

oMaintain accurate budgets, track expenses, and ensure financial efficiency for all premium experience initiatives.
Event Layout and Design:

oOversee the facility's design and layout of activation areas, ensuring alignment with event objectives and client expectations.

oCollaborate with colleagues to manage the layout and setup of the NASCAR weekend Fan Zone, ensuring an engaging and organized fan experience.
Ancillary Events and Facility Rentals:

oAssist in developing, planning, and implementing ancillary events and corporate facility rentals, providing exceptional client service and support.

oCoordinate logistics, staffing, and operational needs to ensure the successful execution of these events.
Client Relations:

oServe as a point of contact for clients, addressing inquiries, resolving issues, and ensuring high client satisfaction.

oDevelop and maintain strong relationships with clients to foster repeat business and enhance the overall client experience.
Staff Management: Hiring and Training for Premium Area

oRecruit, hire, and onboard local staff required for event operations, including temporary, seasonal personnel from regional volunteer groups.

oDevelop and implement training programs to ensure all staff are well-prepared for their roles and responsibilities.

oSupervise and manage event staff, providing guidance and support to ensure high performance and adherence to event standards.

oBuild relationships with local groups interested in working NSS events
Operational Support:

oProvide support to the Director of Operations and other team members in executing event plans and managing on-site operations.

oMonitor event progress, address challenges, and ensure smooth execution of all activities.

Qualifications:

  • Bachelor's degree in Event Management, Hospitality, Business Administration, or a related field preferred.
  • Minimum of 3 years of experience in event coordination, client services, or a related role, preferably within the sports or entertainment industry.
  • Strong organizational skills with the ability to manage multiple tasks and projects simultaneously.
  • Excellent communication and interpersonal skills, focusing on client satisfaction and relationship building.
  • Proficiency in budgeting, vendor management, and event layout design.
  • Ability to work collaboratively with a diverse team and adapt to a fast-paced environment.
  • Flexibility to work extended hours, including weekends and evenings, as required by event schedules.
