**Position Overview**

As a Facilities Specialist, you'll play a key role in ensuring the smooth functioning of the office operations. You'll assist with various operational and maintenance tasks, creating a welcoming, safe, clean, and organized environment for our employees, clients, and visitors.

We're looking for an outgoing team player with excellent communication skills. A positive, welcoming attitude and the ability to multitask and manage various responsibilities. This position will support all Enchanted Rock facilities and report directly to the Facilities Lead.

**Roles and Responsibilities**:
**Office Operations**
- Manage all Enchanted Rock office reception area activities, from greeting all visitors and deliveries to ensuring safety protocols are followed.
- Responsible for performing office opening and closing protocols.
- Re-stock all kitchen and office supplies in the office throughout the day, maintain a clean working environment, and assist with breakroom and conference room cleanliness and organization.
- Keep track of spending for all facility consumables.
- Provide administrative support to the executive team as needed, including scheduling meetings, creating expense reports, preparing documentation, routing documents for signatures, mailing or faxing documents, and keeping their offices tidy.
- Keep track of company accounts and processes for shipping, ordering meals, and employee requests.
- Help maintain records of building maintenance activities, inspections, and inventory levels for office and kitchen supplies.
- Responsible for all office-related mail activities, including trips to the local post offices.

**Shared Services**
- Ensure compliance with health, safety, and environmental regulations applicable.
- Support safety protocols by identifying and addressing potential hazards, ensuring clear emergency exits, and participating in safety drills.
- Create requisition “RFQ” to generate purchase orders “PO” for facility-related items and utilize cost codes as applicable.
- Ensure employees' seating arrangements in the office are presentable.
- Work with Sourcing to ensure all facility vendors and service providers are registered in the company master vendor list.

**People**
- Assist employees as needed and address facility-related requests.
- Support travel as needed.
- Maintains relationships with landlords.
- Support employee events as needed.
- Assist in setting up and arranging furniture, equipment, and materials for meetings, events, or workspace changes.

**Others**
- Participates in special projects as directed.
- Other responsibilities may be added.

**What you’ll need**:

- A bachelor's degree is preferred, and an HS diploma or GED is required.
- 3+ years of administrative support experience.
- Able to lift objects to 30 pounds.
- Have a reliable form of transportation.
- Ability to work in a team environment and coordinate with other areas to achieve goals and objectives with minimum direct supervision.
- Verbal and written communication skills to interact clearly with customers, vendors, and other employees.
- Strong computer skills and proficiency with Smartsheet, MS Outlook, Word, Excel & PowerPoint.
- Ability to handle highly sensitive information confidentially.
- Demonstrate strong organizational skills and attention to detail.
- Ability to prioritize and work well in an environment with competing demands.
- Strong customer service skills, self-starter, highly motivated, and flexible as priorities change.
