**Job Description Summary**

The Practice Manager is a non-clinical role in both the Administrative and Clinical Departments, and reports to the Chief Executive Officer (CEO). This position is salaried, full-time, and on-site.

The Practice Manager is responsible for supporting the CEO in overseeing all administrative and non-clinical business operations of the organization; additionally, this position will support the Clinical Director in delivery of quality patient care. Some of the duties for this position include hiring and managing employees, ensuring compliance with regulations and managing the budget of the practice.

**Objectives & Responsibilities**

Manage and Support Non-Clinical Matters:

- Manage and support administrative staff as well as all non-clinical matters for clinical staff
- Support the CEO in hiring, training, and evaluation of clinical administrative employees
- Coordinate with Human Resources to manage on-boarding process for all clinical and clinical support staff
- Oversee clinical practice personnel issues, including hiring new clinical support staff, PTO, 360 performance evaluations, and the initiation of corrective action process, if applicable
- Work with CEO to manage staff schedules and clinical space needs, manage provider schedules in clinic scheduling systems
- Work with the CEO to evaluate no show, cancellation, wait times, and other patient front-end quality of service indicators

Maintain and Manage Facilities and Systems:

- Create efficient and effective front desk and office systems and workflow
- Develop and manage front desk coverage plans
- Serve as the lead administrator for electronic medical records management
- Oversee the expansion and refinement of the telehealth program, including identifying new payment/reimbursement models and business development opportunities

Manage all Accounts Payable and Receivable/Billing:

- Responsible for overseeing the clinic budget
- Collaborate with the Patient Services Coordinator to provide support and assist in the resolution of patient/customer service and billing issues
- Oversee all activities associated with the billing associates to maximize revenue
- Conceptualize and perform a variety of financial analyses, including new program business plans, spending projections, etc.
- Develop and implement strategies for cost containment

Manage Performance Evaluation Systems, Quality Control, and Net Promoter Score:

- Oversee the administration of all clinical programs in conjunction with the CEO
- Provide key strategic planning assessment, recommendation, and implementation for program areas to achieve strategic priorities and allow for proactive innovation of staffing and resources
- Work with practice leadership to determine staffing needs across all clinical program, research and data/IT teams
- Provide analytics support on various clinical operations/quality improvement projects to assess quality indicators across the organization
- Support CEO to manage the outpatient productivity tracking system
- Manage clinical space utilization to improve patient access and improve employee effectiveness
- Serve as liaison between clinical and research/quality improvement efforts and provide support in data collection procedures and implementation

Support Leadership Team with Data Analysis:

- Meet regularly with appropriate clinical administrative staff to review budgets, revenue, billing, and practice operations
- Identify opportunities to optimize billing potential and develop reporting mechanisms to keep track of progress
- Provide status reports to the COO and CEO on key performance measures across programs and raise issues of concern in order to solicit input on solutions
- Other duties as assigned

**Qualifications & Experience**
- 7-10+ years of managerial or executive level experience
- Clinical and/or clinical operations experience in a community health center
- Experience with healthcare data in a clinical practice environment combined with a strong comfort level with integration reporting and practice data
- Excellent managerial and interpersonal skills
- Proven track record of effectively interacting with senior management and managing teams, both clinical and non-clinical
- Respect for patient and employee confidentiality
- Ability to work strategically and collaboratively across departments
- High degree of initiative and independent judgment
- Flexible, highly organized and thoughtful
- Willingness to learn and use Slack, Trello, G Suite, and other programs
