Client Services Manager

**Responsibilities**:
- Deliver organization and structure to improve high-touch, white-glove service rapidly.
- Monitor and process all client requests to ensure exceptional customer service. Includes money movements (Cashiering), including international wires, required minimum distributions, account updates, journals, and stock gifting.
- Prioritize and organize workflow, as well as corroborate all facets of the operation and administration of client accounts.
- Prepare key documents in Excel and other tools-based presentations for client meetings.
- Coordinate the opening and closing of accounts with clients, custodians, and consultants - drafting letters, preparing customer welcome packets, and setting up standing instructions.
- Proactively reach out to clients on a monthly or more frequent basis, as well as respond to questions regarding accounts, policies, and procedures
- Review daily activity and reconcile current client activity, fund transfers, and the previous day’s activity to ensure accuracy - advanced knowledge and comfort with technology, CRM tools, and automation are important.
- Offer administrative and office management support to the team, ability to supervise others, and work in a team approach.
- Assist with establishing online access for statements, confirms, proxy materials, and other services.
- Complete necessary filing and maintain client eFiles and hard copy when required.
- Understanding compliance and interfacing with internal and external partners is an important part of the position.
- Coordinate with Portfolio Managers to process quarterly billing packages for clients
**The Person**
- Strong interpersonal skills and an innate ability to build immediate rapport with personnel and clients.
- Solid understanding of advisor needs; experience in delivering client-focused solutions.
- Demonstrable ability to communicate, present, and influence key stakeholders at all levels of an organization, including executive and C-level.
- Can-do attitude, solution-oriented, accountable, resilient, and adaptable.
**Basic Qualifications**:
- Ability to multi-task, prioritize and manage multiple projects, and meet deadlines with little to no supervision.
- Excellent analytical skills, ability, and desire to work with numerical detail and related problem-solving tasks.
- Adept working in a cross-functional environment
- Exceptional attention to detail and strong organizational skills are a must
**Required Experience**:
- 3+ years of experience in Financial Services (Wealth Management, Investment, stock brokerage, or portfolio management profession)
- Experience with Addepar, Advent Axys or equivalent portfolio accounting system, custodial platforms (Fidelity/Schwab), Salesforce
- Previous work experience involving customer service, administration, or financial analysis is preferred.
- Excellent written skills, organization skills, and a second language are a plus
- Understanding of investment types (stocks, bonds, mutual funds, etc.)
- Advanced experience in MS Office (Word, Excel), CRM, Teams, Zoom, etc.
- Detail-oriented with the ability to prioritize and organize workflow, once trained to implement proactively for the entire team.
- Ability to work in a fast-paced, high-intensity work environment.
- Ability to acquire a working knowledge of the portfolio of accounts/clients quickly.
- Self-starter and able to work independently.
- Superior interpersonal, written, organizational, and client service skills.
- Ability to work effectively in a team environment.
- Flexible and willing to perform other tasks as assigned.
Pay: $70,000.00 - $90,000.00 per year
