**Job Summary**: The Immigration Program Assistant works together with the organization DOJ Accredited Representative and Program Director in the immigration legal clinic and citizenship class programs and provides the program with administrative duties for the purpose of assisting prospective immigrant clients in navigating immigration legal processes. Attention to cultural norms and needs while working with a diverse community of clients from different immigrant backgrounds is required. The Immigration Program Assistant must be fully bilingual (fluent in Spanish and English). Experience with and knowledge of Immigration Legal Practice and Paralegal skills preferred. Will train.

**Responsibilities as Immigration Program Assistant**:

- Work on Immigration matters and client services under the supervision of Program Director and DOJ Accredited Representative.
- Set up appointments with prospective clients, take client payments, and return client phone calls daily.
- Timely follow up with clients and DOJ Rep. in assisting with immigration case processes.
- Active listening and record keeping with clients, responding to questions in an ethical and culturally sensitive manner.
- Help maintain and organize the immigration offices, creating and maintaining filing systems, both physical and electronic/digital, and maintaining immigration office equipment.
- Coordinate and assist with, and interpret for, non-immigration pro-bono attorneys on a 1x/weekly basis, including scheduling and organizing clients for consults with attorneys.
- Assist clients with online forms when pertinent to immigration matters.
- Assist the Immigration and Citizenship Programs with administrative duties and program statistics/records.
- Maintain and update immigration databases, incoming mail, and correspondence daily.
- Refer clients to services with immigration lawyers and organizations when appropriate.
- Assist Director of Immigration Program with coordinating Citizenship Class meetings, and helping with immigration related events that the agency organizes or participates in as needed.
- Assist with community education and outreach through participating in, assisting with, and providing information during KYR webinars, workshops, etc.
- Maintain current and updated immigration legal knowledge through participation in regular immigration legal education webinars and seminars and through seeking information on immigration legal changes, current policies and updates on a weekly basis, along with responses by the organization.
- Participate in partner agency meetings with immigration team members as needed.
- Protect integrity and confidentiality of client and office files, information, and processes.
- Other duties as assigned

**Requirements/Qualifications**:

- Certified Notary Public (or willingness to obtain Notary certificate)
- Bilingual (English/Spanish full fluency) communication, reading and writing skills
- High School diploma or equivalent, with some college education preferred.
- Careful research and analytical skills
- Understanding of recording and maintaining client legal records
- Effective skills in Client/Customer service, communication, and team collaboration
- Integrity, Trustworthiness and commitment to Confidentiality
- Prior work/experience in legal office, legal field, or immigration casework, desired
- Mastery of Microsoft Office, Excel, Google Suite, Zoom, and LawLogix Immigration Database

**Essential Duties & Responsibilities**

Immigration Administrative/Paralegal Duties - 80%

Notary Public Duties - 5%

Other Duties - 15%

**Benefits**
- This is a full-time position (32-40 hours per week) and is starting hourly pay of $16-$18 or based on experience and qualifications.
