**_Position Title_** Administrative Specialist II **_Work Location_** **Stafford, VA - Government Site **_Position Description_** **The Administrative Specialist will provide on-site administrative support to the Program Manager (PM) for Supply and Maintenance Systems (SMS) in support of the Portfolio Manager for the Logistics Combat Element Systems at Stafford, Virginia. The PfM LCES’s mission within Marine Corps Systems Command is to act as the central agent for the research, development, acquisition, and life cycle management of combat support systems for use throughout the Operating Forces and Supporting Establishment of the United States Marine Corps. The programs within PfM LCES cover all phases of the Department of Defense (DoD) acquisition process. The selected individual will be assigned to the Program Office for Supply and Maintenance Systems but may be tasked to support taskings across the whole PfM LCES. **_Responsibilities_**
- Prepare, review, track and file official correspondence in support of MARCORSYSCOM.
- Prepare official messages using Automated Message Handling System (AMHS) in support of MARCORSYSCOM organizations.
- Review Defense Travel System authorizations and vouchers upon submission by Government travelers from MARCORSYSCOM organizations and provide technical assistance to the user base.
- Update and maintain personnel rosters monthly per organization.
- Coordinate and schedule meetings in support of the PM SMS organization. The contractor shall prepare agendas, meeting minutes, and presentation materials for each meeting attendee.
- Upload documentation to the SharePoint portal.
- Manage the organizational tracking database in support of PM SMS organization.
- Submit morning reports via Marine-On-Line in support of PM SMS organization.
- Inventory, stock, and organize office supplies on a monthly basis or as required.
- Prepare new hire welcome aboard packages and process new hire joins into the organization in support of PM SMS organizations for 5-10 new joins annually.
- Prepare and maintain an organizational chart and table of organization, updated monthly or as required to include employee name competency, position assigned and line number and personnel rosters to include employee name, phone number, seat assignment, information technology asset identification, work phone number, core competency and other tailored information as required and ensure the information is current and accurate.
**_Education/Experience_**
- Minimum three years’ experience in administrative support preferably supporting the Marine Corps or other military branch. Desired background in customer service-related field.
- Bachelor’s degree in business or a related field may be substituted for two years of experience.
- Experience with the Defense Travel System and Joint Travel Regulations
- Experience with SharePoint
- Must be fluent with the Microsoft Office Suite including Word, Excel, Power Point, and Outlook
**_Reports To_** **LTE Program Manager **_Security Clearance Requirements_** **There is no clearance requirement for this position. **_Travel Requirements_** **There is no travel anticipated for this position.
