Laguna College of Art + Design is seeking a full-time experienced Administrative Assistant to the Department Chairs - Big Bend. The College is located in an internationally recognized arts colony in Laguna Beach, California and offers a diversity of majors in Animation, Graphic Design and Digital Media, Fine Art, Game Art, Illustration, and Entertainment Design.

**Position Summary**:
The Administrative Assistant to the Department Chairs assists Department Chairs with general clerical and administrative duties, special events, scheduling student advising, and departmental meetings.

Provides administrative support for database and collection of student work. Collects information for website updates and department and exhibitions coordination. Assists with Assessment, Program Reviews, and Advancement Review procedures and provides support for Admissions events.

**Essential Duties and Responsibilities**:

- Assists Department Chairs with general clerical and administrative duties and scheduling student advising and departmental meetings.
- Assists in the coordination of special events throughout the year; overtime will be required in October, during commencement, at the end of the semester, and as needed.
- Assists with guest presentations, event planning, and organizing.
- Administers the database and drive: Collects student work for the view book, website, and advertising.
- Assists with website content and keeps department information current.
- Provides administrative support for department exhibitions.
- Assists with Assessment, Program Reviews, and Advancement Review procedures.
- Provides support for Admissions events and follows-up with students.
- Assists with student contest submissions.
- Orders supplies and schedules field trips for classes.
- Oversees the performance evaluation process for adjunct faculty.
- Performs duties and special projects as assigned.

**Position Requirements, Experience, and Education**:
**Education**

An associate or bachelor’s degree preferred or commensurate education and experience.

**Experience**

2-5 years of relevant office experience or campus experience preferred.

**Licenses**

Must have a valid U.S. driver’s license, maintain an excellent driving record, have a means of transportation and carry automobile insurance coverage. Automobile insurance coverage must meet minimum liability insurance requirements for private passenger vehicles. Although not required, it is recommended to have the following insurance limits: Bodily Injury Liability Insurance coverage of at least $50,000 per person/$50,000 per accident and property damage liability of $5,000 per accident.

**Position Requirements**
- Proficient at Microsoft Word.
- Proficient at Microsoft Excel.
- Intermediate skill level preferred for Microsoft PowerPoint.
- Intermediate skill level required for Google Suite: Gmail, Calendar.
- A commitment to supporting LCAD’s diversity, equity, and inclusion program required.
- Excellent listening, written, and verbal communication, and interpersonal skills required.
- Ability to work independently as well as part of a team required.
- Excellent organizational skills required.
- Must be self-motivated, focused, and proactive.
- Excellent spelling, grammar, and editing skills required.
- Ability to multi-task and work in fast-paced, demanding environment required.
- Experience in higher education preferred.
- Must be able to drive personal vehicle for business purposes and must pass DMV background check and have minimum insurance requirements as set by LCAD.
- Regular attendance is considered an essential job function; the inability to meet attendance requirements may preclude an individual from retaining employment.

**Physical Essential Functions**:
Sitting, typing, and moving from one place to another. This position takes place indoors in an office environment sitting at a desk and working in front of a computer. Occasional lifting of up to 25 lbs.

**Business Hours**:
The regular hours for this position are Monday - Friday, 8:30 AM - 5:00 PM with a one-hour lunch. Regular hours may vary based on the College’s needs. Overtime, weekend, and evening hours may be required. Travel may be required.

This is a non-exempt position.
