**Position Overview**
**Key Responsibilities**
**Administrative Tasks**
- Manage and organize office documentation, files, and records.
- Coordinate and facilitate communication between departments.
**Scheduling**
- Schedule appointments, meetings, and conference rooms efficiently.
- Assist in coordinating travel arrangements for employees when necessary.
**Event Planning**
- Plan and execute office events, meetings, and conferences.
- Coordinate logistics, catering, and any necessary materials for events and office lunches.
**Front Desk Management**
- Greet visitors and ensure a positive experience at the front desk.
- Handle incoming and outgoing mail and packages through various carriers.
- Answer phone and direct call to correct department or person.
**Office Maintenance**
- Coordinate with building management for maintenance and repairs.
- Ensure a clean and organized office environment. Monitor and maintain office supplies inventory.
- Liaise with vendors for office equipment maintenance and repairs.
- Special projects
**Qualifications**
- Fluency in English and Spanish is required.
- Proven experience in office administration or a related role.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and prioritize tasks effectively.
- Experience in event planning and coordination is a plus.
**Education and Experience**
- High school diploma or equivalent (Bachelor's degree preferred).
- 2+ years of relevant experience in office administration.
Pay: $16.00 - $20.00 per hour
