**Duties**:
As the Gallery Support Specialist:

- Monitor all incoming requests for facilities services and determine if the request is a routine or an emergency service request. Accurately routes incoming requests to the appropriate department as applicable.
- Demonstrate expert skills and ability to successfully use and manage all CMMS modules and platforms (i.e., Work Orders, Inventory Management, Projects, and Preventive Maintenance modules; CMMS Desktop platform and CMMS mobile platform) via desktop computers, laptops, and mobile devices.
- Review and assess compliance with safety regulations, standards, goals, and objectives from supervisor's rough drafts, notes, or oral instructions, types of outgoing correspondence, forms, reports, and charts.
- Responsible for proper spelling, grammar, format, and arrangement of all data in CMMS and all communication.
- Utilizes the Government Purchase Card to place supply orders for Facilities Services Department and reconciles monthly charges.
- Prepare facility, special event, and project work orders through the Computerized Maintenance Management System (CMMS) for all requests and forward them to the appropriate office or shop.
- Maintain and coordinate all CMMS documentation and reports for serviced facilities.
- Demonstrate expert ability in preparing automated reports (special events, PM, inventory and parts, assets, labor hours and costs, safety, utility and equipment outages, etc.) for management review and action.

**Qualifications**:
- Thorough knowledge and understanding of personal computers and commercial software associated with the responsibilities of the position: word processing, spreadsheets and data base management, including creation of automated forms on MS Office Suite.
- Knowledge and understanding of the Gallery’s CMMS System.
- Ability to communicate effectively both orally and in writing; skill in research and fact finding, and the ability to analyze and problem solve.
