**Job Summary**:
Under general direction, the incumbent is responsible for the planning, development and formatting of the English Language Program (ELP) and the operations of special programs. This includes, but is not limited to, the initiation, execution, coordination, implementation, and evaluation of these programs. Provide academic advising and student support services for the ELP program and special short-term and long-term programs.

Duties and responsibilities

Program Administration:

- In accordance with International Education Programs (IEP) guidelines, provide timely and accurate pre-arrival orientation information, plan and construct academic programs and course outlines, identify and recruit faculty, coordinate program logistics with support staff and students, and evaluate program outcomes to determine if there is a need for new or revised programs.
- Demonstrate strong planning and development skills to promote programs, monitor online marketing, maintain student/faculty databases, and track program and student progress.
- Responsible for administration of major aspects of programs such as administering program activities, orientations, and ceremonies for IEP programs from inception to completion: plan, organize, and facilitate daily operations of self-support programs, including academic degree programs, Study in the USA (SUSA), Academic Pathway Programs (APP), International Training & Education Programs (ITEP), and other short-term programs.
- Plan and develop content and format of educational offerings in a timely program design (including dates, deadlines, orientations, testing, fees, etc.) of IEP programs and disseminate program information accurately to students and other IEP staff.
- Review current IEP website content for accuracy and update program dates and fees; update the International Education (IE) website for IEP programs.
- As the international program specialist, the incumbent will create Course Preparation Forms (CPFs) for IEP program courses, including Special sessions courses, and make sure the correct courses have been built in PeopleSoft (PS) to enroll students in IEP programs.
- Process new hire paperwork for IEP self-support programs’ instructors, create payroll calendar, generate instructor contracts, and produce payroll processing forms for IEP and Special Sessions courses.
- Increase student registration in IEP programs prior to class via enrollment campaigns; ensure maintenance and accuracy of student information in PS and student files.
- Implement and update communication plan for incoming and current students; coordinate extra-curricular activities to promote community participation (e.g., special events and trips, dorm shopping) for IEP students; serve on Student Engagement Committee and Orientation Committee; develop and implement various IEP surveys such as the Sense of Belonging survey and Program Evaluations.
- Monitor and develop budgets, analyze costs, and make suggestions for improved efficiency; make recommendations for improving and developing IEP processes and procedures.
- Prepare matriculation reports, enrollment reports, and other reports (e.g., IIE Survey Reports and Annual Report) at the end of each term or program and submit to supervisor.
- Make housing reservations with on-campus housing for IEP students.

Student Advising:

- Conduct program information advising for IEP students, including self-support Academic Degree Programs, SUSA, APP, and ELP Levels 3 and 4.
- Facilitate IEP student admission and matriculation into degree programs and increase matriculation rate, organizing admissions workshops and providing all necessary information to IEP students.
- Hold regular office hours for student appointments and walk-ins for IEP program information; respond to student inquiries about IEP programs in a timely manner.
- Prepare Title IX content for the Student Conduct Course in Canvas to ensure IEP students understand the university and state polices; post announcements, schedule presenters, input dates, and send student notifications.
- Serve as a Designated School Official (DSO) for IEP: ensure compliance with immigration policies and regulations, maintain Student and Exchange Visitor Information System (SEVIS) immigration records, issue I-20s, and process transfers, travel signatures, and changes of status.
- Assist in implementing new internal and inter-departmental processes such as SEVIS Transfer Tracking and IEP Online Student Requests.
