The Vagelos College of Physicians and Surgeons Office of Development (VP&S OOD), a part of the Columbia University Irving Medical Center (CUIMC), is dedicated to facilitating relationships that support the vision and mission of CUIMC and VP&S: to advance biomedical research, patient care, medical and scientific training, and community impact.

Position Summary

Reporting to the Executive Director of Development, the Development Associate provides overall administrative support for the daily operations of the development team, handling fundraising efforts for the Departments of Medicine, Emergency Medicine, and Orthopedic Surgery, as well as the Transplant Initiative, within OOD. This position manages a wide range of complex administrative operations in support of the team, including scheduling meetings (with the preparation of agenda and notification to participants as well as meeting follow-up); writing and coordinating the production of donor reports, solicitation letters, thank-you letters, and special acknowledgment letters; drafting own correspondence for review by supervisor; processing gift transmittals, assisting with prospect research and proposal development. The incumbent will also serve as a local expert for other staff.

The incumbent will work with the Executive Director to standardize and improve administrative best practices across the team. They will coordinate and manage database entry and maintain donor lists including assurance of data base accuracy; maintain files and database portfolio; interact with internal and external constituencies; help organize and coordinate events including semi-annual Cerebral Palsy Center Advisory Board and Transplant Forum Executive Committee meetings; perform other related duties and special projects as assigned.

- Assisted with prospect research and proposal development; coordinated and managed database entry; interacted with internal and external constituencies. - **20%**:

- Scheduling appointments and meetings, including preparation of agendas, notification to participants, and appropriate follow-up. -** 15%**:

- Maintaining donor lists, including assurance of database accuracy; maintaining files and database portfolio. - **10%**:

- Assisted with organizing and coordinating board

- Troubleshoot and perform other related duties and special projects as assigned. - **10%**

Minimum Qualifications
- Requires a bachelor's degree or equivalent in education and experience, plus three years of related experience.

Preferred Qualifications
- Prior experience working for a senior-ranking member of a management team, managing multiple demands, and changing priorities, skills in basic research, and advanced MS SharePoint experience are preferred.

- Be able to lead and teach peers; identify and improve common day-to-day tasks with peers.
- Ability to work with mínimal supervision and maintain a high level of confidentiality.
- Be able to accurately handle diverse projects and a large volume of detailed work simultaneously and use good judgment in prioritizing work.
- Demonstrate the ability to work with management information systems and software systems.
- Superior Excel, MS Office skills, and Advance (or similar fundraising database) experience required.
- This position requires work beyond regular hours, including evenings and weekends, as projects and events require.
