**_ Agency Description_**

The First Judicial District of Pennsylvania (“FJD”) is the Philadelphia County Court System and is composed of two courts: the Court of Common Pleas and the Municipal Court. The mission of the FJD is to adjudicate cases and provide services to the community within our jurisdiction while ensuring fair, timely, and accessible justice to the people of Philadelphia. The FJD is part of the Unified Judicial System reporting into the Pennsylvania Supreme Court of Pennsylvania.

**Job Description** Position Summary**:
Performs routine entry level book-keeping and clerical work in the maintenance and review of court fiscal records. The worker prepares invoices, generates checks, and prepares assigned portions of financial statements and reports. An employee in this class performs routine entries to subsidiary ledgers and examining and coding financial data in accordance with existing accounting procedures. Duties may also involve receiving funds and verifying accounts. Work is performed under the supervision of a higher-level accounting technician and/or professional accountant.

**Essential Functions**:
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Generate and distribute monthly invoices to various vendors.
- Record and process account receivable payments in compliance with financial policies and procedures.
- Reconcile Accounts Receivable ledger to ensure all payments are processed and posted accurately.
- Reconcile, record, and post daily financial activities in accounting system related to the collection of court filing fees for various courts - CP, Family Court, Municipal Court.
- Create and update spreadsheets for accurate financial record keeping.
- Ascertain that requests for funds are accompanied by authorized signatures and purchase requests from the fund are in accordance with prescribed procedures.
- Examine invoices, court orders, and other documents for mathematical accuracy, completeness, and procedural correctness.
- Prepares authorized checks for signature by an administrative supervisor.
- Update court case management system to accurately document financial transactions.
- Compile and verify the accuracy of financial reports in preparation of monthly disbursement to various court and government agencies.
- Receive, disburse, and report payments to various entities.
- Provide coverage for cashiering duties during lunch hour and cashier leave.
- Maintain accurate record of daily cashiering activity related to the collection of Civil court filing fees.
- Prepare bank deposit and cash receipt documents.

**Marginal Functions**:

- Answer the telephone and greet clients.
- Provide general information pertaining to assigned functions.
- Replenish computer printer, copier, or fax machine paper supplies.
- Perform related work as required.

**Enivronmental Conditions**:

- Standard clerical office conditions.

**Competencies, Knowledge, Skills and Abilities**:

- Working knowledge of book-keeping and accounting principles and procedures, office methods and procedures.
- Ability to make arithmetic calculations with speed and accuracy.
- Ability to operate adding machines and calculator.
- Some knowledge of governmental accounting principles.
- Ability to learn, within a reasonable time, the accounting procedures of court departments.

**Qualifications**
1. High school diploma or equivalent including or supplemented by a course in bookkeeping or

accounting and one year of office experience; or a high school diploma or equivalent including

considerable work in arithmetic computation and one year of office experience.

**OR**

2. Equivalent combinations of training and experience which provide the characteristics required to

perform the essential functions of the class may substitute for those listed.
