Receptionist/administrative Assistant

**Responsibilities**:
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls to the appropriate department or individual in
professional and courteous manner
- Provide general administrative support, including photocopying, scanning, and filing
documents
- Assist with customer events schedule and act a as a coordinator for events
- Assist at off-site events and sales functions when needed
- Assist with company's online presence and help manage web page, social media and
inventory
- Assist with photographing inventory and events for advertising
- Assist with cashiering when necessary
- Help to manage customer storage reservations
- Organize and lead monthly team member schedule for proper work coverage and track
time off for team members
- Work with F&I team and help complete Motor Vehicle paperwork for processing
- Assist in tracking dealership CSI and service survey to ensure customers are 100%
satisfied
- Track all licenses, permits, insurance policies, registration to confirm all is up-to-date and
in compliance
- Send statements to customers and follow up when necessary to collect funds due
- Assist Sales, Service and F&I departments as necessary
- Perform data entry tasks to update and maintain records
- Manage incoming and outgoing mail and packages
- Maintain a clean and organized reception area
- And other related tasks
**Work Hours**:
2 days during the week 8:30am - 5pm
REQUIRED: Friday, Saturday and Sunday's (see schedule below)
Friday (8:30am - 5pm)
Saturday (8:30am - 5pm)
Sunday (10am - 4pm)
**Qualifications**:
- Previous experience in an office or receptionist role preferred
- Must be organized and detailed
- Strong computer skills, including proficiency in Microsoft Office Suite
- Excellent verbal and written communication skills
- Ability to multitask and prioritize tasks effectively
- Knowledge of phone systems and ability to handle multiple phone lines
- Attention to detail and strong organizational skills
- Ability to maintain confidentiality of sensitive information
