BOOKKEETER AND HR MANAGER

**JOB SUMMARY**

This position is responsible for providing financial support for a multi-clinic non-profit organization. Responsibilities include but are not limited to general ledger maintenance, payroll support, bank and account reconciliation, financial report preparations. Oversees financial data and compliance by maintain accurate books on accounts payables, receivables, payroll, daily financial entries, and reconciliations. Performs daily accounting tasks such as monthly financial reporting, general ledger entries, and record donor payments and adjustments and deposits.

**JOB DUTIES**

The Mobile Clinic Coordinator manages and performs the following functions:

- Oversight of all accounting and payroll activities
- Oversight of all finance data, compliance and operations
- Maintains accurate books on accounts payable, donor receivables,

Payroll and daily financial entries and reconciliations
- Performs monthly financial reporting, general ledger entries
- Records donor payments, adjustments, and deposits
- Works with CCOO to manage payroll
- Reviews payables monthly with CCOO for approval
- Coordinates regular team meetings when necessary for HR or payroll issues
- Ensuring administrative and clinical staff adherence to HR policies and procedures
- Supports the organization’s mission, vision and values
- Maintains confidentiality
- Understands HIPAA compliance
- Assists independent auditors during annual audit
- Prepares balance sheet reconciliations
- Prepares daily cashflow reports
- Prepares and posts journal entries
- Maintains fixed asset inventory

**QUALIFICATIONS**:

- Bachelor’s Degree in Accounting
- Minimum of 5 years accounting experience
- Knowledge of accounting practices relevant to non-profit accounting
- Current knowledge of Quickbooks and Microsoft office
- Payroll processing and HR experience
- Working knowledge of GAAP
- Ability to analyze financial data and prepare financial reports, statements and projections
- Strong interpersonal skills
- Highly effective communicating with other staff and working collaboratively

- Responsible for orienting new administrative and clinical staff to HR policies, procedures, standards of conduct as it relates to HR policies
- Manages and covers all finance functions
- Establishes relationship with Finance Committee members
- Develops relationships with vendor partners
- Works closely with CEO, finance committee and CCOO to ensure efficiency and effectiveness
- Assists CEO ad CCOO in managing finance, HR and payroll activities
- Managerial style that is results oriented, open and transparent.
- Establishes processes to ensure timely reporting
- Uses critical thinking skills and sound judgment, works with CEO, CCOO and Finance Committee to resolve finance, HR issues and communicates effectively with finance leadership team
- Ensures all records, reports, logs and documentation are kept current and are in compliance with any regulatory and organizational policies and procedures.
- Maintains functionality of all accounting software
- Attends and actively participates in meetings as assigned
- Recommends changes to systems or delivery of services that would result in a more efficient and effective operation.
- Models professionalism by example.
- Collaborates with team members as it relates to HR or accounting issues
- Assumes responsibility and accountability for effectively managing financial activities
- Ensures accurate and timely documentation, and attention to detail
- Serves as resource to other team members
- Works independently within scope of responsibilities to achieve appropriate outcomes
- Maintains a level of professional development through continuing education and participating In-services, training and workshops
- Reflects understanding and strives to meet CPCI mission and standards
- Provides HR, PTO and payroll education
- Conducts exit interviews
- Participates in staff training and in-services
- Works closely with the Advancement team
- Demonstrative positive interpersonal standards those standards including interpersonal communications and professional conduct expectations.
- Works with CEO to ensure that regulatory standards and requirements are met
- Performs any tasks needed to ensure the continued functioning of the Finance Department
- Ability to work effectively in a team environment.
- Produces reports as requested for gifts and grants
- Conducts monthly and year-end closing
- Demonstrated ability to work effectively with staff at all levels.
