**DIVISION OVERVIEW**
- The Housing Assistance Division (HAD) of the Los Angeles County Development Authority (LACDA) Is responsible for the administration of the Housing Choice Voucher (HCV) Program. The LACDA administers over 26,000 Housing Choice Vouchers for the County of Los Angeles and other targeted and grant-funded rental subsidy programs. The Housing Assistance Division partners with 10,000 landlords, helping eligible families afford safe, decent, high-quality rental housing. This fast-paced work environment has a high volume of phone calls and data entry projects.

**POSITION OVERVIEW**
- The Housing Assistance Division of the Los Angeles County Development Authority (LACDA) partners with 10,000 landlords to provide rental assistance to over 25,000 low-income families. The Division currently has a Records Specialist position available in the Alhambra office. Over 1 million images are scanned by the Housing Assistance Division's Imaging Unit annually. The Records Specialist works under the direct or general guidance of a supervisor and will be responsible for the daily data entry and scanning of client documents utilizing the Laserfiche and Yardi systems

**Essential Job Duties**:

- Accurately image and index client documents into the Laserfiche system.
- Ability to exercise judgment in making routine decisions, learn office operations and procedures, and operate office equipment.
- Conduct quality control of all imaged documents.
- Accurately input client information into the Yardi system.
- Follow the prescribed procedures to prepare documents for scanning, storage or destruction, including removing staples or clips, identifying document types, and other related procedures when needed.
- Assist with the coordination of file transfers, retrieval and storage.
- Track and retrieve files from internal or external locations as needed.
- Ability to establish and maintain effective working relationships with agency personnel and vendors.
- Ability to bend, stoop, and work in variable conditions (dust, temperature, etc.) frequently.
- Ability to work occasional overtime to complete records management goals.
- Regular attendance is an essential job function.
- Excellent organizational skills and be detail oriented.
- Working knowledge of personal computers and software such as Microsoft Office Suite (Outlook, Word, PowerPoint, Excel, & Teams), Adobe Acrobat, and Nuance Power PDF.
- Working knowledge of office methods, practices office equipment operation, and standard business English usage, including spelling and grammar.
- Capacity to maintain strict level of confidentiality regarding client information.
- Aptitude to perform efficiently in a fast-paced work environment.
- Excellent customer service skills.
- Proficient with Laserfiche or related software programs, personal computers, and Microsoft Office products.
- Must be able to understand and carry out verbal and written instructions and communicate effectively.

**Qualifications**:
One (1) year of increasingly responsible experience imaging and indexing documents into the Laserfiche imaging software or the operations, services, and activities of similar imaging software.

**HIGHLY DESIRABLE**
- Working knowledge and experience with imaging and indexing documents.
- Working knowledge of Laserfiche imaging software or the operations, services, and activities of a similar imaging software.
- Working knowledge of YARDI rental subsidy software or similar software.
- General functions of the housing authority and their associated record-keeping requirements.
