Executive Assistant to The Superintendent

This is a full-time, 12-month position working out of the District Office of the Greendale School District.

Situated in the southwest metro area of Milwaukee, Greendale Schools is home to more than 2,700 students. The district prides itself in providing an excellent education for all students from 4K through twelfth grade. Greendale High School, Greendale Middle School, and three elementary schools (Canterbury, College Park, and Highland View) serve the district’s needs. The district currently employs about 350 people.

In this position, you will serve as the Office Manager and Executive Assistant to the Superintendent of Schools and Board of Education. The person in this position is responsible for attending all School Board meetings (held twice a month on Monday evenings, beginning at 7pm.)

ESSENTIAL FUNCTIONS:

- Receives telephone calls and visitors to the Superintendent’s office, always exercising tact and diplomacy when dealing with individuals.
- Maintains a schedule of appointments and makes arrangements for meetings, conferences, and other events attended by or hosted by Superintendent and School Board members.
- Prepares office memos, correspondence, reports, minutes of meetings, and other documents as directed, duplicating and distributing items as requested.
- Prepares School Board meeting agendas and packets, posts proper notices of School Board meetings, and maintains permanent records of meetings in accordance with Wisconsin statutes regarding open and closed meetings.
- Attends all Board meetings, records minutes for the Board of Education, and disseminates official minutes.
- Maintains knowledge of District procedures and timelines and communicates them with other staff and community members.
- Compiles information for expulsion hearings and sends out appropriate notices.
- Responsible for overseeing and maintaining accurate records and expenditures of Superintendent and Board budgets including the processing requests for purchase orders.
- Reviews School Board policies and administrative regulations on an on‑going basis and maintains the district official record of school board policies.
- Maintains records as required by law, School district policy, and administrative regulations in accordance with the Department of Public Instruction records retention policies and state law.
