Fleet Service Administrator

**Job Summary**:
The Fleet Service Administrator will assist in the day-to-day operations of our service department that manages a large full-service fleet of medium and heavy trucks and trailers and automotive. This position will assist by opening and closing work orders, monitoring parts inventory, locating and ordering parts/tools/equipment, and updating the fleet management software. The person in this role should have a working knowledge of the automotive and/or heavy truck industry, be self-directed and detail oriented.

**Responsibilities**:

- Open work orders in accordance with daily driver vehicle inspection reports.
- Obtain information about parts required for maintenance or repair from the service department and create corresponding purchase orders (PO).
- Research using online systems, various OEM inventory catalog programs and past invoices to determine replacement part numbers and prices.
- Locate parts and available stock from local suppliers or other vendors and order accordingly.
- Track part orders and receive deliveries.
- Follow up with vendors to resolve concerns surrounding parts availability.
- File claims with vendors for returns/missing parts/damaged parts as needed.
- Track and communicate with the accounting departments regarding warranty claims and credits for returned/damaged parts.
- Match POs with invoices and approve invoices for payment.
- Monitor service departments’ progress of work orders, update and close work orders upon completion of repairs.
- Perform inventory counts to assure accurate warehouse inventory of parts and order stock parts as needed to stay within limit threshold.
- Track employees’ tool allowances in collaboration with the accounting department.
- Communicate with other departments to relay new or changing information, resolve issues and expedite work.
- Research local, state, and federal regulations as needed.
- Other duties as assigned.

**Skills**:
The Fleet Service Administrator should demonstrate competence in some or all of the following:

- Excellent written and verbal communication skills
- Advanced time management and organizational skills
- Ability to prioritize and adapt to shifting demands and timelines
- Strong listening and problem-solving skills

**Experience**:

- Inventory management experience: 2 years (preferred)
- Service writing experience: 1 year (preferred)
- Mechanical aptitude - understanding of commercial vehicle, heavy duty, and automotive repairs
