JOB TITLE- NH/EOE IT Manager (New Hire/End of Employment Manager)
JOB LOCATION - Multiple Locations Available
DEPARTMENT - IT Department/Office Services
REPORTS TO - Director of IT/Director of Real Estate and Office Services
LEADERSHIP - Supervises a team of 3-5 people across the U.S.
**JOB DESCRIPTION**
**PRIMARY PURPOSE**
The NH/EOE IT Manager is a pivotal role responsible for leading and managing the team handling new hire processes, internal employee moves, and end-of-employment procedures with a strong focus on automation, scalability, and process efficiency. This position requires a blend of strategic thinking and operational excellence, with a deep understanding of technological solutions that can streamline HR and IT processes.
**PRINCIPAL DUTIES & RESPONSIBILITIES**
Automation and Process Improvement
- Develop and implement automation strategies for new hire and end-of-employment processes.
- Manage Microsoft Autopilot for streamlined device deployment.
- Research and integrate technological solutions to automate Active Directory entries and other repetitive tasks.
- Continuously assess and improve the scalability of processes to accommodate organizational growth.
Equipment Ordering and Procurement
- Develop and maintain relationships with procurement teams and/or external vendors to ensure timely and cost-effective procurement of IT and office equipment.
- Implement a standardized process for the requisition of equipment based on new hire roles, internal moves, and specific project needs.
Equipment Assignment and Recovery
- Develop a system for assigning equipment to new hires, ensuring they receive the tools necessary for their roles from day one.
- Ensure accurate record-keeping for all assets, including serial numbers, warranty information, and assignment history.
- Coordinate with IT and HR to manage the recovery of equipment during employee offboarding processes, ensuring assets are promptly returned and accounted for.
- Implement a refurbishment and redeployment program for equipment that is in good condition, optimizing the use of assets and reducing waste.
Strategic Vendor Management
- Identify and establish relationships with strategic vendors for services to scale as needed.
- Negotiate contracts and manage vendor performance to ensure quality and cost-effectiveness.
- Stay abreast of market trends and innovations to leverage new tools and services.
Standardization of Setups
- Create and maintain lists of standard setups based on group requirements, ensuring a consistent and efficient onboarding experience.
- Coordinate with IT and HR to ensure that the equipment and access provided align with specific job roles and security protocols.
Optimization of Active Directory
- Explore and implement ways to fully utilize Active Directory capabilities for improved user management and security.
- Collaborate with IT to ensure seamless integration of Active Directory with other enterprise systems.
Team Leadership and Management
- Lead, motivate, and manage the NH/EOE team to achieve departmental goals.
- Provide training and development opportunities to enhance team capabilities.
- Foster a culture of continuous improvement and innovation within the team.
Reporting and Analytics
- Develop metrics and reporting systems to track the efficiency and effectiveness of processes.
- Use data-driven insights to make strategic decisions and further improve operations.
Process Development
- Designing and implementing comprehensive procedures for the entire lifecycle of employee engagement, from onboarding to offboarding.
- Leveraging technology to streamline and automate processes, reducing manual effort and increasing accuracy.
- Working closely with IT, HR, and other departments to ensure processes are aligned with organizational needs and compliance requirements.
- Continuously evaluating and refining processes based on feedback and evolving business requirements.
Documentation
- Creating detailed process documentation that serves as a reference for current and future team members.
- Ensuring that all procedures are documented in a clear, concise, and accessible manner.
- Maintaining a centralized repository of documentation that is easily accessible to stakeholders.
- Regularly reviewing and updating documentation to reflect process changes, new technologies, or regulatory requirements.
Training
- Developing and implementing a comprehensive training program for team members involved in the NH/EOE processes.
- Utilizing a variety of training methods, including workshops, e-learning modules, and one-on-one coaching, to accommodate different learning styles.
- Providing ongoing support and advanced training for team members to handle complex situations or to introduce new tools and technologies.
- Establishing metrics to assess the effectiveness of training programs and making adjustments based on performance data and feedback.
