**Job Objective**: A brief overview of the position.- Provides direct oversight in developing, customizing, maintaining, and administering multiple databases for the Graduate Medical Education (GME) office to ensure ACGME Institutional and Sponsored Program Accreditation as well the oversight of the Intern and Resident Information System (IRIS) files in the Residency Management System Software (MedHub). Supports the GME operations and staff, Designated Institutional Official (DIO), Program Directors, Faculty, Program Managers & Residency Coordinators.-

**Qualifications**

**Education**Required: Bachelor’s degree or additional work experience in Medical Education may be considered in lieu of degree

**Licensure/Certification**- N/A

**Experience**- Required: Three (3) years of experience in Graduate Medical Education (GME) using Medical Education software
- Preferred: Experience using New Innovations, MedHub, E-Value, or My Clinical Exchange-
**Essential Responsibilities**- Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and reports suspected violations.-
- Manages all operational aspects of the MedHub database and medical education related data systems. Responsible for the systematic management and retention of all institutional and program accreditation files.-
- Serves as an expert resource for the MedHub system providing training to residents, fellows, administrators, and faculty. Conducts database workshops for GME program personnel. Provides training sessions and assist staff in use of data collection systems.-
- Designs common database protocols for GME administration for evaluations, conference attendance, milestone reporting, and other required program activities. Contributes to the development and implementation of new technical solutions.-
- Works with the Chief Administrative Officer of GME and DIO, Residency Program Directors, Program Managers and Coordinators to provide required data to the Accreditation Council of Graduate Medical Education (ACGME), IRIS, CMS, HRSA reports and audits.-
- Maintains training history within resident/fellow profile per regulatory requirements - i.e., to maintain CMS reimbursement eligibility. Responsible for the accuracy of the official training record related to dates and program.-
- Administers changes in applicable systems and databases as residents and fellows progress through training years - e.g., training year promotion, annual contractual appointment, training completion, leave of absences, and alumni information.-
- Collaborates with on-going workgroups to optimize process workflows and systems as operational efficiency and compliance changes may require.-
- Ensures timely annual deployment of internal resident/fellows, core faculty and post-graduate program, exit, polling, and orientation surveys.-
- Edits and posts all recorded resident, fellow, and faculty development videos in MedHub.-
- Coordinates Institutional and Program10-year self-study - data collection and outcomes.-
- Monitors and track, institution and program citations and responses in MedHub.-
- Prepares and compile program and institutional data required for Annual DIO report including but not limited to, resident/fellow/faculty demographics, program information, board pass rates, in-training exam, and scholarly activity.-
- Monitors and deploy monthly program reports regarding procedure logs and evaluation completion for all programs.-
- Implements and maintains the institutional dashboard to monitor program compliance.-
- Prepares data for monthly, semi-annual and annual reports required for graduate medical education programs, and the Graduate Medical Education Committee (GMEC) and any subcommittees.-
- Manages the new hire residency/fellowship onboarding process on MedHub including launching onboarding checklists, ordering IT access, set up Butterfly IQ and Protocol Builder accounts, troubleshooting IT issues for new hires.-
- Develops and maintains GME program webpages and social media.-
- Conducts regular audits in MedHub including demographics, licensure, schedules, work hours, scholarly activity, and other required documentation.-
- Manages off-site rotation schedules (affiliated institutions, away rotations) on MedHub.-
- Assists in development of program evaluations that measure resident/fellow performance, faculty performance, educational content of rotations, and the program, ensuring these are written in competency-based language, as necessary.-
- Identifies methods for obtaining evaluations by outside evaluators, including nurses, patients/patient families, staff, technicians, etc. (e.g. 360 evaluations).-
- Monitors ACGME ADS reporting and delivery of resident/fellow/faculty outcomes - internal/external surveys.-
