**General Statement**
Delivers direct and indirect administrative support to the Dental Programs by creating, maintaining, and updating data bases, compiling data, maintaining records, preparing reports and documents, and distributing information through the use of a personal computer and other office equipment. Manages office inquiries and issues associated with Healthcare Programs. Provides flexible, responsive, and high-quality customer service to the entire college community.
Hours 8AM - 4PM. Some early morning, evening, or weekend availability will be required.

**Duties and Responsibilities**
- Acts as a point-of-contact for the Dental Programs, assists students, answers calls, responds to and/or forwards inquiries to appropriate parties for action.
- Provides administrative assistance with the day-to-day operational functions of the Dental Programs and assist the Program Coordinators with administrative duties.
- Works with the Program Coordinators to develop and revise administrative processes to maximize program efficiency and productivity.
- Excellent organizational skills and ability to maintain accurate records.
- Ability to plan and complete multiple tasks on schedule.
- Maintains shared databases and files using various computer programs, such as Microsoft Word, Excel, PowerPoint, Outlook, Access, and SharePoint
- Interoffice deliveries as needed.
- Order office supplies.
- Report EZ Labor payroll and back-up reporting for "01" attendance.
- Process mail daily including, opening, sorting, distributing incoming mail, and preparing outgoing mail.
- Review, files, and distributes materials such as correspondence, reports, project files, budget materials, etc., in accordance with prescribed classifications system.
- Process interoffice paperwork and electronic requests according to college policies and procedures such as clinical affiliates agreements, RTE's, purchase order requests, check requests, staff development forms, travel reimbursement forms, media requests, print shop requests, room reservations, food orders, etc.
- Create and maintain log of student petitions for curricular waivers, and high-risk appeals.
- Work with Program Coordinators on external accrediting agency reporting requirements.
- Recording minutes for faculty and dental programs advisory boards.
- Locate and withdraw information from records by using personal computer, searching files, conferring with staff and other departmental personnel, etc. to prepare reports or respond to inquiries by supervisor.
- Prepare confidential reports, correspondence, and other communications requiring high level of accuracy and professional appearance.
- Assist other healthcare programs as needed.
- Ability to exercise sound independent judgment and coordinate office operations in absence of immediate supervisor or in response to emergency situations.

**Job Requirements**: Minimum Qualifications**
- Proficiency using MS Word, Excel, PowerPoint, Access, and Outlook.
- Applicants must have at least (A) two years of full-time experience or equivalent part time experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.
**Substitutions**:
- A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.
- A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of Massachusetts high school equivalency certificate may be substituted for maximum of eight months of the required experience. *
- A diploma for completion of a one-year, or equivalent part-time program, in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience*.
