School Administrative Assistant-high School

**Description**:
**The list will be valid for 6 months for current and upcoming vacancies throughout the district. This position is 40 hours per week/ 12 months per year.**
**This recruitment will be used to fill the current vacancy at Rancho Bernardo High School, and future vacancies District-wide**
**BASIC FUNCTION**:
- Under the direction of a High School Principal, organize, coordinate, schedule and perform a wide variety of complex administrative office activities; perform public relations and communications services for the Principal to support District personnel, parents and the local community; relieve the Principal of a wide variety of technical and administrative detail; train and provide work direction to volunteers and assigned staff.
**Examples of Duties**:
**REPRESENTATIVE DUTIES**:
Organize coordinate and lead a wide variety of clerical and other office functions and activities related to the administration of diverse programs and operations at a high school; prioritize and schedule duties and assignments to assure efficiency and effectiveness and meet established time lines. _E_
Serve as secretary and provide administrative assistance to the Principal; make, schedule and arrange appointments, meetings and conferences; take and transcribe dictation as required. _E_
Prepare a variety of reports on behalf of the Principal and other administrative staff. _E_
Coordinate and facilitate communications and serve as liaison between District and site personnel, parents, students, school and community organizations and the general public. _E_
Communicate with a variety of site and District personnel and administrators to coordinate school operations and maintenance, resolve conflicts and issues and exchange information. _E_
Perform secretarial duties for the Principal to assist with routine administrative matters as appropriate such as site representative for Workers’ Compensation; independently compose letters, memoranda and other materials. _E_
Communicate with students, staff, parents and the public; provide information and assistance related to District policies and school procedures and regulations. _E_
Receive visitors and screen telephone calls and complaints from the public, staff and parents; exercise independent judgment in resolving routine matters or directing to appropriate department; represent the school and Principal at various events; interact with parents, agencies and others during critical events or emergencies. _E_
Type and input from notes, rough draft or verbal instructions a variety of written materials including correspondence, bulletins, memoranda, calendars, requisitions, records, reports and evaluations; maintain associated records. _E_
Compile and organize information for the Principal; compose and respond to routine correspondence; open, sort, review and route mail. _E_
Operate a variety of business and office machines including calculator, computer, copiers and communications equipment. _E_
Process time sheets for certificated and classified staff, code and meet District payroll time lines. _E_
Train and provide leadership and work direction to school clerical technical and secretarial personnel, student assistants and others as assigned. _E_
Order a variety of equipment and supplies; assure receipt and proper distribution; inventory and monitor supplies and forms; process administrative publication slips; monitor and maintain records of equipment on loan to staff. _E_
Coordinate and assist with special events for the high school; assist in selection of personnel and program; assure adherence to legal requirements and Board policies; work with and assist personnel assigned to the event.
- Administer routine first aid to students and staff as assigned by the position; dispense medication according to physician instructions and District policy; notify parents of ill or injured students as needed.
- Perform related duties as assigned.
**NOTE: At the end of some of the duty statements, there is an "E" which identifies essential duties required of the classification.**
**Minimum Qualifications**:
**EDUCATION AND EXPERIENCE**:
Any combination equivalent to: graduation from high school supplemented by course work in business administration, communications or related field and five years of increasingly responsible office or secretarial experience involving public contact and record-keeping experience.
**LICENSES AND OTHER REQUIREMENTS**:
- Some positions in this classification must obtain a valid First Aid and CPR certification issued by an authorized agency within six months of employment.
**SELF-CERTIFICATION OF TYPING/KEYBOARDING SKILLS**:
- This classification requires that incumbents be skilled in typing/keyboarding at a minimum of 45 words per minute. A typing test will not be given. Applicants must certify in writing that they have such skills. Demonstrated proficiency will be expected during the probationary period for the class.
