Job Description Summary

The Hospice Office Assistant coordinates and assists the Office Manager in maintaining an efficient flow of clerical functions in the office.

Essential Job Functions/Responsibilities

1. Provides assistance to the Office Manager, preserving the confidential nature of items of which he/she has knowledge. Maintain the files, supplies and general office conditions in an orderly manner.

2. Handles all correspondence and word processing for the hospice organization. Ensures all bills go to Office Manager for processing.

3. Assists with morning meetings and acts as back up facilitator when Office Manager or Clinical Director are not available.

4. Answers telephone inquiries and channels them appropriately.

5. Is responsible for maintaining administrative and clerical files as directed by Office Manager.

6. Distributes clinical notes to clinicians after IDT after recording on the “Weekly Ledger” sheet.

7. Enters referrals into the Electronic Medical Record per process. Assists with tracking of documents related to referrals.

8. Prepares admission packets and binders for admissions.

9. Primarily responsible for Hospice Aide scheduling and sending schedules to facilities.

10. Notifies facilities of Hospice aide absences when they occur

11. Monitors Hospice aide visits for completion and ensures all are closed out by end of month

12. Manages on call calendar and ensures the answering service receives schedule and updates timely

13. Orders and tracks Durable Medical Equipment as needed/approved.

14. Assists with printing, faxing, distribution and tracking of clinical documentation

15. Prints weekly Emergency Preparedness Census.

16. Assists with ordering of office supplies.

17. Other duties as assigned by the Office Manager and/or Executive director.

Position Qualifications

1. Minimum of two (2) years’ experience in a health care office setting preferred.

2. Scheduling and intake experience preferred.

3. Is at least 18 years of age.

Skills Required

1. Personal computer skills

2. Proficient in Microsoft Office

3. Proficient in use of business office machines (fax, scan, copier, etc.)

4. Familiar with Medical terminology

Pay: $23.00 - $25.00 per hour

Expected hours: 40 per week
