The Director of Operations and Administration is responsible for the administrative, operational, and space oversight for the School of Arts and Science, including some aspects of the Graduate School of Arts and Sciences, and reports directly to the Dean of Arts and Sciences. Oversees HR processes and hiring for these units, serving as liaison with central HR. Serves on related University-wide committees, representing Arts & Sciences, and provides tactical and strategic input. Serves as matrix supervisor for all Arts & Sciences Administrative staff. Directly supervises the Manager, Operations and Administration, Creative Arts & Humanities, the Manager, Operations and Administration, Social Sciences, and the Associate Director for Space & Building Operations. Leads several initiatives for the School of Arts and Sciences, including academic prizes and awards.
**Responsibilities**:
Operations: Oversee daily operations of the School of Arts and Sciences, including space related issues, building operations, and administrative operations. Draft policies and stewards them through appropriate channels in A&S and other Brandeis offices. Consults with internal and external groups on business process improvements and serves on project team as needed. Main contact for Capital planning in A&S. Serves on University Space Committee. Manages staff budget and presents report to the Dean of the School of Arts & Sciences. Work in close collaboration with the Associate Director, Financial Ops, Admin & Budget and the AVP for Financial Operations, Administration, and Budget throughout the fiscal year, as necessary. 30%
HR Liaison: Act as main liaison with HR Recruitment, Compensation and Business Partner teams related to staffing and staff performance. Support all A&S staff recruitment efforts, including drafting job descriptions, conducting phone screening and reference checks, as well as offering process advice and support to managers. Ensure that HR is informed at each stage of the recruitment process. Work with HR Compensation team on all staff promotion, raise and job change requests; advise HR on salaries ranges for vacant positions. Manage and oversee the performance review and staff salary processes for all staff in A&S. Sit on working committees related to HR processes as needed. 30%
Academic Administrative Support: Serve as a resource for academic staff within Arts and Sciences, including facilitating weekly Academic Administrator meetings. Direct supervisor for division-level managers in Creative Arts, Humanities and Social Sciences. Create administrative policies with relevant stakeholders and communicate new policies to admin staff. Assist in the on-boarding of new administrative staff, including training on Workday and other Brandeis systems. Triage administrative issues and escalate to appropriate Brandeis entities for solution creation. Support chairs in addressing administrative needs, as requested. Propose and implement new administrative structures as necessary. 30%
Special Initiatives and Projects: Manages a variety of special projects and initiatives for the Dean of the School of Arts and Sciences. These include the Academic Prizes and Awards process and lead on Commencement for A&S. In addition, serves on the Workday HR and Workday Student Governance committees as the A&S representative. Serves on other committees as requested. 10%
What you need to succeed- Bachelor’s degree along with 8+ years related work experience- Experience and understanding of business operations- Experienced people manager- Strong leadership skills including talent management, coaching, and building a culture of continuous improvement and accountability.- Critical thinking skills and ability to exercise sound judgement- Outstanding communication and people skills; ability to work with all levels of leadership- Partner with supervisors and human resources to make effective decisions and set strategic goals- Working knowledge of MS Excel and a database system (Brandeis uses Workday) for budget planning- Experience working in a college/university or non-profit setting is helpful, but not required
