**Summary**:The Administrative Assistant/Receptionist is responsible for a variety of tasks to support the efficient operation of the Human Resources Department and ensure the smooth functioning of administrative processes by performing the following duties.
**Essential Duties and Responsibilities**:
- Serves as first point of contact for visitors, applicants, and employees at the Service Center, providing excellent customer service and directing inquiries appropriately. Answers and directs phone calls in a professional manner. Manages incoming and outgoing mail.
- Provides administrative support to the Executive Director of HR and other members of the HR team. Assists with the preparation of documents, reports, and presentations.
- Schedules fingerprint appointments. Accepts and reports road test payments for the Transportation department.
- Schedules meetings and appointments for HR staff, as well as external organizations seeking to use KRESA facilities. Coordinates meeting logistics, including room bookings, agenda preparation, and applicable catering needs.
- Administers the SafeSchools training platform for the Agency. Coordinates employee training schedules, tracks completions, and maintains records. Provides support to employees experiencing technical difficulties.
- Responds to requests for verification of employment in a timely accurate manner. Maintain confidentiality and comply with data protection regulations.
- Assists with the preparation and processing of invoices and billing statements. Ensures accuracy and timely submission of invoices and maintains records of payments and receipts.
- Works closely with custodial staff to help staff and visitors with needs.
- Maintains regular and consistent attendance.
- Must have knowledge of and comply with the policies and procedures contained in the Kalamazoo RESA handbook._
