**JOB SUMMARY**:
Under general supervision and at the direction of the Provost/Vice President of Academic Affairs, gathers data and conduct statistical analysis; serves as a resource person to other management and staff; maintains budgets, cost of instruction, enrollment and other data related to academic divisions; audit faculty contracts for accuracy; and conducts related work as required.

**SPECIFIC DUTIES AND RESPONSIBILITIES**:

- Conducts audits, reports and special projects related to cost of instruction, enrollment management and divisional budget and make recommendations as requested by administration. 25%
- Responsible for maintenance and integrity of all academic data for campus faculty, adjuncts, and staff. This includes storage and maintenance of files, tracking of workloads and status in databases. Leads and oversees imaging of faculty records approved by Provost. Updates all records of faculty, adjuncts and staff as new degrees, certificates and licenses are awarded. Supplies accurate and detailed information required for reaffirmation and accreditation. 15%
- Maintains the Faculty Position Rosters and academic, salary, and budget data. Maintains strict confidentiality with respect to all faculty, staff and student records, as well as all activities specific to the Office of Academic Affairs. Performs analysis and product with regards to faculty positions in departments, colleges, and the campus. 10%
- Prepares reports including Teacher Load Summary reports, class schedule information and compiles, maintains and assists with the analysis of data to maximize resources. 10%
- Coordinates faculty hire process in collaboration with divisional leaders and HR. 10%
- Prepares, distribute and track annual faculty contracts. Amends existing contracts based on changes and adds new contracts for new faculty. Manages the electronic contract system. 10%
- Leads for HCM and Campus Solutions data for the Office of Academic Affairs. Updates information throughout the year as changes occur. 15%
- Completes other duties and responsibilities as needed. 5%

**QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS**:

- Bachelor’s degree in a related field.
- Minimum five (5) years of experience in higher education or equivalent systems
- Proficiency in Microsoft Office products
- **Preferred Qualifications**:_
- Experience with academic record keeping and maintenance
- Knowledge of student information systems
- Experience with Campus Solutions, HCM software ( Workday or Elucian EMS)
- Experience with workflow systems
- Strong customer service mindset
- Strong organizational and problem-solving skills

**PHYSICAL DEMANDS**:
This position requires an ability to sit, stand, walk, bend, lift, reach up, stoop, and carry items occasionally more than twenty-five (25) pounds. It also requires manual dexterity to operate standard office machines, such as, copier, calculator, telephone, and other equipment as necessary.
