The Client Services Coordinator (CSC) will be introduced to clients (per Director’s discretion) as the client’s primary administrative point of contact. The Directors will communicate to clients that the CSC is responsible for handling client phone calls re: wires, journals, receiving client checks, ordering/changing Schwab One checks, raising sweep cash from Adv shares for certain clients, forwarding documents/statements to other professionals as needed, sending/receiving faxes and following up on address changes and duplicate statements.

**Duties and Responsibilities**
- Setting up client meetings for directors
- Maintaining and updating client lists for each director including dates of scheduled meetings and most recent asset allocation reports
- Processing address changes for non-Schwab accounts, i.e., Neuberger Berman, Bernstein, other accounts as needed
- Following-up on duplicate statements and changes to duplicate statements, i.e., LOAs, follow-up if broker changes firms
- Compiling, scanning and organizing documents for mortgages, tax returns, estate plans, retirement planning (social security statements, pension plan documents), and trusts
- Following up on documents/information requested by mortgage brokers
- Researching information requested from clients’ other advisors, i.e., accountant, attorney, broker, investment advisor as needed
- Updating/researching cost basis on Schwab Institutional for tax preparation
- Completing all securities litigation forms
- Updating Outlook with information that is not routinely handled by the Administrative Assistants, i.e., clients’ K-1 contacts, passwords, logins to non-Schwab accounts
- Following up directly with clients on problems created by Schwab’s new compliance process, i.e., signatures matching source documents
- Coordinating with back office staff to resolve various issues regarding Schwab, Fidelity Gift Fund, NYS 529 plan, and others
- Implementing administrative controls and formalizing key administrative processes, i.e., checklists and accountability procedures
- Creating organizational systems for larger clients
- Review of monthly Quickbooks reports prepared for JICO bill paying clients
- Assisting with issues arising from bill paying clients, i.e., wires to add money to bank account, contacting bank regarding issues with checks, etc.
- Obtaining tax documents that we do not receive copies of, i.e., 1099, gain/loss reports from outside brokerage firms, etc.
- Creating a master K-1 list with contact information and estimated completion time to be used during tax season

**Qualifications**

The Client Services Coordinator position typically requires the following qualifications:

- Understanding of how a PFP firm operates
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook
- Good oral and written communication skills
- Good organizational and time-management skills

Pay: $60,000.00 - $80,000.00 per year
