**Job Title**: Sales and Catering Administrative Assistant

As a Sales and Catering Administrative Assistant, you will play a pivotal role in supporting our sales and catering teams to ensure seamless operations and exceptional service delivery.

**Role Overview**: The Sales and Catering Administrative Assistant will provide administrative support to the sales and catering departments, assisting in the coordination and execution of events, maintaining client relationships, and ensuring efficient office operations.

**Key Responsibilities**:
1. Administrative Support:

- Manage calendars, schedule appointments, and coordinate meetings for the sales
- and catering teams.
- Prepare and distribute correspondence, reports, and presentations as required.
- Maintain and update databases, records, and client information.

- Assist in the preparation of contracts, proposals, and sales agreements.

2. Event Coordination:

- Assist in the coordination and planning of events, including meetings, conferences, weddings, and other special events.
- Liaise with clients to gather event requirements, preferences, and special requests.
- Coordinate with internal departments such as catering, housekeeping, and facilities to ensure seamless event execution.
- Prepare event orders, banquet event orders (BEOs), and other relevant documentation.

3. Client Relationship Management:

- Build and maintain strong relationships with clients through regular communication and exceptional service.
- Follow up with clients to ensure satisfaction and gather feedback for continuous improvement.
- Assist in generating leads and prospecting for new business opportunities.

4. Financial Support:

- Assist in the preparation of sales reports, forecasts, and budgets.
- Process invoices, track expenses, and maintain financial records.
- Coordinate billing and payment collection processes.

5. General Office Support:

- Maintain office supplies inventory and place orders as necessary.
- Assist in the onboarding of new team members and provide administrative support as needed.
- Handle other administrative tasks and projects as assigned by the management team.

Qualifications and Skills:

- High school diploma or equivalent; additional certification or training in administration or hospitality is a plus.
- Proven experience in administrative support roles, preferably in sales, catering, or hospitality.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent communication and interpersonal skills, both written and verbal.
- Detail-oriented with a high level of accuracy in data entry and record-keeping.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Flexibility to work evenings, weekends, and holidays as required by event schedules.

Pay: $22.00 - $25.00 per hour
