**Office Controller/ Manager Position**

We are looking for an office controller/ manager to organize and coordinate administration duties and office procedures for a rapidly growing company. The company is involved with Construction, Landscaping and Real Estate. This is not just a controller position, this is also a managerial position that comes with many responsibilities. **Office Controller/ Manager Job Responsibilities**

The controller will be in charge of the following:
(A contract, and non disclosure agreement will be applicable due to the high priority and importance of the position. Position will be classified as a "key individual" in the company. Hire will be second in charge under the president)
- All accounting which is done on Quickbooks Online currently
- High level of accounting skills are mandatory
- In charge of all bank accounts, reconciling, and payments
- Accounts receivable, and accounts payable
- Organization of receipts and tickets daily from employees, and categorized by job site etc..
- Job cost tracking is mandatory
- Books must be accurately updated by Friday of each week
- Property management (Real Estate and tenants)
- Management of asset lists, financing, and payments of assets, if applied
- Submitting and performing accurate payroll for company
- Updating of all licenses, lease agreements, sub contractors, and job contracts

**Responsibilities**

Serve as the point person for office manager duties including:

- Mailing
- Equipment and Supplies
- Maintenance
- Bills
- Trucking tickets
- Errands
- Shopping
- Schedule meetings and appointments
- Organize the office layout and order stationery and equipment
- Maintain the office condition and arrange necessary repairs
- Partner with HR to update and maintain office policies as necessary
- Organize office operations and procedures
- Coordinate with IT department on all office equipment
- Ensure that all items are invoiced and paid on time
- Manage contract and price negotiations with office vendors, service providers and office lease
- Manage office G&A budget, ensure accurate and timely reporting
- Provide general support to visitors
- Assist in the onboarding process for new hires
- Address employees queries regarding office management issues (e.g. stationery, hardware etc.)
- Liaise with facility management vendors, including cleaning, catering and security services
- Plan in-house or off-site activities, like parties, celebrations and conferences

**Requirements**:

- Applicant must have experience running a $5,000,000+ company - MANDATORY
- 8 years proven experience as a Controller, or Office manager for a large construction/landscape business **involved with public jobs**:

- High level of bonding knowledge and government projects
- Knowledge of office administrator responsibilities, systems and procedures
- Real Estate, property management, tenant and leasing skills
- High level skills in MS Office (MS Excel in particular)
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with the ability to implement stronger efficiency in the office

**Educational Requirements**

College Degree; Accounting, Business Management

**The Work Environment**

The environment is a standard small office arrangement located in Andover, NJ.

**Reporting Relationship**

The office manager reports directly to the President.

**Compensation**

Compensation is commensurate with your office management experience.
