**ESSENTIAL FUNCTIONS OF JOB**:

- Serves as primary administrative support to the Intellectual and Development Disability Unit.
- Greets and assists general public when they enter office. Answers telephone and takes messages, handles inquiry or transfers call to proper individual.
- Types and copies letters, reports, memos and other documents as required by program staff.
- Handles the various steps for opening a new referral for the Intellectual and Developmental Disabilities (IDD) program.
- Enters and updates pertinent information in the internal Client Database and HCSIS for new/current IDD consumers.
- Enters and updates pertinent information in the internal Client Database for the closing of IDD/EI client/files.
- Enters pertinent information on the Early Intervention referral website. Receives information from the providers regarding availability times for services, contacts families with availability offers, confirms acceptance of times with providers and enters information into the PELICAN system.
- Enters pertinent information in an Excel Spreadsheet for Early Intervention Referrals received from families, physician offices, Cumberland County Children & Youth, and etc.
- Sets up IDD/Waiver files in Laserfiche. Scan IDD/Waiver consumer documents into Laserfiche.
- Sorts and organizes the paperwork for consumer files for IDD files. Files the material into the files, maintains the files and purges, as appropriate, material from the various consumer files.

**ADDITIONAL PRIMARY JOB DUTIES**:

- Retrieve, open, date stamp, sort, and deliver the mail internally.
- Handles the notification letters regarding CASSP meetings; school agreements; and creates folders for the consumers.
- Assists department staff with special projects, reports or assignments as requested.

**OTHER DUTIES OF JOB**:

- Attend meetings and trainings as needed.
- Operates computer and software programs and any other office equipment as necessary to carry out jobduties.
- Performs other job related duties and support services as required (taking and retrieving mail from courthouse).

**Minimum Experience and Training**:
One year of progressively complex clerical experience and completion of high school; **OR **Six months of moderately complex clerical experience and completion of a post high school business curriculum; **OR **Any equivalent experience and/or training which provided the required knowledges and abilities.
